- Administrative Support
- Draft and distribute communication to members, staff, Board Members, and stakeholders as instructed
- Assist Operations Supervisor with research for communications and newsletters
- Provide support in updating the website as instructed
- Monitor the performance of the website
- Assist in obtaining quotations for printing, receipt of and distribution of print material
- Provide administration support in event planning
- Capture and file all meeting minutes
- Digitally file documents and maintain an effective and up to date document as well as information management system
- Front line support
- Manage incoming and outgoing telephone and e-mail traffic
- Handle and relay accurate and timely messages from telephone callers, and escalate queries where necessary
- Meet, greet and arrange refreshments for visitors
- Membership & Account Administration
- Maintaining and updating the member database
- Keep CRM up to date by capturing new member details and/or cancellations of members and/or changes
- Liaise with the Operations Supervisor in relation to member movement
- Issuing certificates (at end of the year to all members and during the year when registering)
- Monthly reconciliation between CRM and Pastel
- Assist with all account queries
- Adhoc invoices as required from time to time
- Debt collection from members
- Operational Support
- Assisting with membership services
- Assisting with member events
- Updating and filing of stakeholder information
- Managing several information channels
- Assisting with member and stakeholder research
- Assist with updating and maintaining administrative programs

Minimum Qualifications / Experience
Grade 12 required, and a post school qualification is an added advantage
2 to 4 years administrative experience
Knowledge of the National Credit Act would be advantageous
Experience working with Pastel Partner
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to take minutes, write routine business reports and correspondence. Ability to speak effectively before groups of customers or employees in the organisation.
Numerical Skills
Basic Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Intermediate Skills: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of Internet software; Spreadsheet software, Word Processing software and PowerPoint and be social media savvy.
