CORE PURPOSE OF JOB
This post is responsible for providing proactive administrative and office support to the MBChB programme in the School of Medicine, including Office and Financial management.
KEY PERFORMANCE AREAS
- Manage general office operations within the office of the Medical Director and MBChB coordinator and maintain accurate databases and filing systems.
- Provide information about the Medical Programme to students, staff members, external stakeholders and members of the public.
- Coordinate and provide administrative, financial and technical support and provide timely processing of vendor payments, invoices and purchase orders.
- Assist with human resource processes such as loading and administering short term contracts.
- Prepare and disseminate written correspondence to staff, students and stakeholders.
- Ensure compliance with the Universitys policies, procedures, and guidelines.
- Serve as liaison between the program and other University offices, regulatory bodies, external organizations and members of the public.
- Assist in planning meetings, outreach programs, conferences, meetings, and seminars with responsibility for making the administrative, travel and accommodation arrangements.
- Take accurate minutes from meetings inclusive of the School of Medicine, national and international committees, regulatory bodies, and stakeholders.
- Perform related duties as and when required.

- Strong computer skills (ITS, MS Office, Internet, e-mail) and the willingness to learn (internal software programs

- Require minimum Education M+3 qualification in (e.g., secretarial/office management/public relations & communication/financial management).
- Required minimum experience: At least 3 years relevant work experience of office management in a Higher Education setting.
