Business Need / Purpose of Role
The Operations Executive - Port Agency reporting to the Country Manager, based out of Cape Town, South Africa shall be responsible to conduct port operations, especially with regards to crew operations, immigration visa arrangements and crew transfers, enabling smooth transition of day-to-day documentation/operations and eventually accomplishing speedy turnaround of vessels in accordance with ISS QMS and under strict adherence to local rules and regulations.
Objectives & Measurement Key Responsibilities
- Crew operations and transfers, that is coordination of pick up and drop off.
- Immigration and Visa arrangements.
- Boarding and handling requirements as per vessel / principal requirements in close co-ordination with main office and ensure in accordance with QMS.
- Maintain good working relationship with the Immigration, Customs, Vendors, Port authority and Principal.
- Providing the Marine department with updated information on local rules and regulations and changes as and when notifications received.
- Arranging crew medicals, shore passes, hot work permits for vessels etc. as per vessel / principal requirements in accordance with port procedures.
- Represent the client in all port and vessel related matters by checking, monitoring and assisting the on the day-to-day operational jobs.
- Providing the Marine Department wit updated information on local rules and regulations and any changes as and when notifications received.
- Work as a team with all other operational staff ensuring all regulations are followed and that all port and cargo documentation is in order prior and after departure of vessel/s.
- Follow reporting procedures and keep the Operations manager updated on all activities.
- Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
- Being able to communicate verbally/writing in a clear and concise manner.
- Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
- Good interpersonal relationship in managing people/sub-ordinates, planning, organizing.
- Excellent attention to minute details.
- Self-driven, organized, good communication skills.
- Strong planning and coordination skills.
- Strong Problem Solving & Analytical Skills.
- Excellent Time Management Skills.
- Having a global perspective and possess a progressive thinking skill.
- 3 years experience in similar role with excellent knowledge of Shipping / Port Agency industry.
- Having a good knowledge of customer base and their requirements within the local Cape Town market.
- Relevant experience of working within a Services Delivery industry.
- Experience of working to pre-defined processes and procedures and delivering work in accordance to SLA (Service Level Agreements).
- Good level of numeracy.
- Relevant academic degree shall be required.
- South Africa Driving License shall be desirable.
