- Proactively manage client and advisor communication and queries.
- Process client and advisor requests.
- Interact with clients, staff and other stakeholders.
- Regular interaction with clients, fellow-employees, business management and LISPs to ensure the effective delivery of communication and administrative requirements.
- Load new clients in the CRM system.
- Collect mandate documentation and ratings.
- Compliance and risk management (maintain register of high risk clients FICA).
- Maintain email communication distribution lists (Correl8).
- Follow up on queries, outstanding information and incomplete documentation.
- Manage Metrofile records (reduce unnecessary records and costs).
- Client service related duties.
- Investigate discrepancies (reconciliation of Naviga systems and reports according to LISP data).
- Assist teammates with administration issues.
- Update and maintain database.
- Remove (or indicate inactive) client detail for inactive investments picked up.
- Monitor client folders on the CRM system.
- Prepare management reports (AUM and AUA reports).
- Prepare, distribute and process investment instructions (switches; initial, rebalancing and portfolio changes).
- Perform general duties to include, but not limited to, copying, mailing and filing of organizational documents and records.
- Open, sort and distribute incoming correspondence; post and email.
- Answer all incoming calls promptly and politely; assess callers requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously.
- Implement model portfolio changes.
- Monitor deviations from the model portfolios.
- Restructure a clients portfolio if it is not aligned with the model portfolio.
- Linking of Advisors.
- Register new model portfolios.
- Prepare quotations on a platform.
- Assist advisors with model portfolio switches, mandates and general administration.
- Follow internal procedures as per the administrative procedure guideline.
- All administrative duties must be executed within turnaround times.
- Ensure that the principles of FAIS and FICA are applied.
- Use the CRM system.
- Use the platform portals.
- Full working knowledge of Microsoft Office, including Word and Excel.
