Compliance Officer

The SVA Risk Control Officer is provided with a Tablet which is scheduled; daily, from the SVA Data Management Control Centre; (DMC), with a check sheet consisting of various question sets to be completed by the Risk Officer on site.

Audit Question Sets.

The control question sets are aligned to Client Policies and Procedural compliance requirements and the primary function of the SVA Risk Compliance Officer is to identify where non adherence to these procedures occur, make Management aware of the situation, obtain and record corrective actions, using Tablet, with deadlines from the responsible party.

Focus Points

To maintain control of shrinkage within the various operational activities/areas by reporting on deviations from Client procedures which can lead to shrink and financial loss.

Data Capture

The capturing of data (Invoices regarding stock received and IBT’s) is critical to the operation of the business, across the board. The SVA Risk Compliance Officer is to confirm EACH day that all invoices have been captured by close day. Keep in mind, if not kept up to date it will negate the effectiveness of several controls such as:

  • Controlled stock movement
    • IBT’s
    • Any stock moved from one area to another, such as from receiving to the internal holding stock room or to the main sales floor for merchandising is to be signed for by the accountable person taking it over. (Hunt the signature)
  • High Risk counts
    • Cyclic Counts (Check against Schedule/Roster indicating dates for product lines to be counted and delegated persons. Report where this is not being adhered to or no such Schedule in place.) Client Control procedure requiring ALL product lines to be counted through a minimum of three times between Stock Takes.
  • Adherence to the ‘Cold Chain Process’ (Veterinary Medicines/Vaccines)
  • Controlled access to cages and stock rooms. (Registers)
  • Completion of ‘Poisons Register’
  • Reconciling of Articles of Movement report against Yard Products Sold register (Load Register).
  • Effective yard supervision and control of stock loaded
    • NO STOCK IN YARD TO BE LOADED IF NO INVOICE IS PRESENTED.
    • Completion of ‘Loading Register’ or ‘Stapel Bord’. (To be done by the Yard Manager or designated supervisor; NOT a temp or general helper/loader/picker.)
    • SVA Risk Compliance Officer to check ‘Stapel Borde’ or register every day for correct completion by the responsible party.
  • Known Stock Loss register, SVA Risk Compliance Officer to check for daily completion, values to be recorded where possible.
  • Forklift disciplines and checks
  • Fire Arms and Ammunition Controls
  • Security procedures and protocols
    • CCTV Installations
    • Electrical Fencing
    • Intruder Alarm Devices/Installations
  • Driveway Fuel point

These are the majority of areas/activities to be monitored. At the discretion of SVA Management and requests from the client, other areas or disciplines can be added.
