Main Purpose / Objective Of The Position
To support the commercial finance and account lead with billing, payment allocations, solving problems, liaising with the client and operational team etc.
The suitable incumbent will also support the Site Lead and Management team with administrative and clerical tasks.
Manages queries or redirects and follow-up for resolution.
Client Billing/Invoicing
- Analyse the various billing templates/schedules
- Update billing schedule daily
- Process and submission of invoices
- Ensuring billing is done on time
- Send statement (monthly) to debtors
- Liaise with the client regarding unbilled revenue
- Resolving queries
- Ensure we have sufficient funds available on all POs received
- Follow up on outstanding invoices (Not Paid)
- Provide weekly feedback to debtors controller
- Allocate payments to invoices on SAP
- Clearing of debtors accounts
- Ensure data centre and asset polices are adhered to
- Support site with system usage and performance measurements
- Responsible for local inventory, maintenance, and license management
- Responsible for creation and maintenance of published documentation including operations manuals
- Ensure standard colocation operating policies, methods, processes and measures within area of control
- Responds to relevant client and customer requests and complaints within the workplace in relation to the administrative function
- Maintains positive business partnership with vendors that provide services and goods to the office.
- Positively contributes to the required KPIs of the Contract inclusive of all savings targets.
- Understand Risk and delivery mitigation strategies
- Excellent relationship and stakeholder management with the Client and adhering to the instructions from line manager in a timely manner.
- As it relates to any Risk, inform line manager of any risk associated with ADC Site Services that may result with business interruption, non-compliance, non-adherence to CBREs RISE Values
- Performs other duties as assigned.
- Ensure there are no examples of non-compliance to CBREs RISE Values
- Ensure the contribution to positive moral within the team, support of the regional teams goals and plans, providing a contribution of solutions to challenges and being the positive influencer of achieving operational excellence for the team on the ground
- Relevant Financial or Business Qualification and at least 3 to 4 years relevant experience supporting an operations team.
- Must have sound administrative experience in a high-pressure environment.
- Strong customer service orientation. Sound verbal and written communication skills.
- Must have experience in engaging stakeholders at all levels. Sound performance orientation and interpersonal skills.
- Basic understanding of financial principles and contract management. Understanding of Health and Safety requirements

Internal: Client / Customer / Internal Staff at site level
External: Vendor, Contractors, Suppliers
Role Requirements
The Data Centre sites operate on a 24/7 basis; as such incumbents may be required to respond operational requirements in line with functional responsibilities. Furthermore, due to the nature of the position and operational requirements of the company the suitable incumbent will be based at the client site and will be managed in line with business requirements subjected to regulatory conditions.
