Customer Service Coordinator

  • Main Responsibilities
  • Entering orders in SAP and working closely with the commercial team to progress order requirements & to ensure that our Account Managers are kept fully up to date with their commercial activities
  • To deliver timely and accurate invoicing to our customers
  • Create and maintain Master product and Customer data in SAP
  • Be the voice for the inbound / outbound customer service calls
  • Coordinate Orders for Vending Projects and Installations
  • Importing of Data for strategic Customer Accounts
  • Creation of files for the Assembly and Production Warehouse
  • Effectively & accurately provide pricing, product guidelines, and delivery dates to accurately complete orders and answer any customer related questions to ensure fluent progression of orders
  • Clearly communicate critical and detailed information across other departments to ensure quick and accurate delivery to our customers
  • Maintain accurate customer and sales order records in all software systems (SAP and salesforce.com)
  • Maintain file systems and daily filing tasks for all orders
  • Provide support to help resolve issues related to sales order entry, customer order records, billing, subscriptions, and other customer communication
  • Support & assist in ensuring that back office processes are consistently efficient & evolve to meet business requirements to fully meet customer needs
  • Effective communication across multiple departments to ensure accurate & on time delivery of requests and orders for our customer base
  • Work in line with KPIs and within defined SLAs to meet business & customer expectations of our high standard service
Skills & Experience Required + Key Competencies
  • Must be fluent in English and at least one other European language (written and verbal)
  • Similar work experience required: 3-5 years
  • Must be very customer focused with a determination to elevate the customer experience
  • Experience with SAP required, and salesforce.com preferred
  • Clear and professional communication skills
  • Effective at performing detail-oriented tasks
  • Ability to work in a fast-paced environment
  • Demonstrate strong relationship building skills
  • Ability to work in a team setting, sharing responsibilities and goals
  • Ability to maintain a positive attitude in stressful situations
  • Ability to learn procedures and concepts quickly
  • Skilled in problem and conflict resolution
  • Process oriented whilst remaining agile to support business needs
  • Able to effectively work remotely and to be driven by self-initiative
  • Excellent computer skillsMicrosoft Office Suite; including Outlook, Excel, Word & PowerPoint
