Responsibilities
- Secretarial tasks for head of department and other personnel
- Departmental and office administration.
- Administrative duties related to undergraduate and postgraduate programmes as well as departmental research programmes
- Liaison with students, industry partners and other academic institutions.
- Organization of conferences and other events
- On-going maintenance of documentation for quality standards and accreditation visits
- Procurement using the PeopleSoft system from placing an order to delivery e.g. stationary, equipment, airline tickets, accommodation, rental cars, catering
- Grade 12 or a;
- 3 year Secretarial/Office Administration or relevant National Diploma;
- Financial experience;
- Administrative experience - A total of 4 years with Grade 12
- Secretarial experience - A total of 2 years with a Diploma
Knowledge
- Basic book-keeping knowledge
- Budget Control Capital, Computer, Audio visual, Running
- Diary management
- Document Management
- Examination arrangements, procedures and confidentiality
- Up to date on departmental activities
- Handling of all office equipment
- Knowledge of the Academic Information Service
- Knowledge of the department and UP
- Knowledge of Office equipment
- RIS-System
- Record Keeping Systems
- Telephone systems
- Applicable Unicom-Modules (Orders, Departmental Accounts, etc)
- Applicable UP policy
- Applicable UP Financial Policy and Processes (Claims, Travel and Subsistence, etc)
- Management of Meetings (logistics) and taking of Minutes
- Upload of all Performance Management documents for every personnel member in the Department as well as signing them of to go through to the personnel department.

The annual remuneration package will be commensurate with the incumbents level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
