Main purpose of position
Currently we are looking for a Site Document Controller in Kathu, Northern Cape to be part of our global team working together towards our vision Improving our future. As our Site Document Controller, you will be responsible for the management of all project documents on-site and follow up on progress of works. Handling intake, scanning, verification, and storing documents.
Main Responsibilities
- Create all additional document profiles for internal documents as instructed by Project Document Controller
- Upload all document deliverables received by transmittal
- Create all document profiles as per the SMDLs and return the Project document numbers (DocID) to the Contractors
- Checking and editing documents for accuracy and compliance
- Send documentation on workflow according to the Project distribution matrix and controlling the flow of documents in and out of the department
- Follow up that all the workflow processes are completed
- Generate outgoing transmittals - Return the documents with Acceptance code and comments to the Contractor/Supplier
- Document status reporting to Project Document Controller and Project Technical Manager
- Process all e-mails received in the project email box according to the Project Mailbox and Email use Guideline
- Ability to provide training to the new project staff at site in the Document Management System
- Minimum: National Diploma
- Tertiary qualification in Business Administration advantageous.
- Excellent MS Office knowledge.
- Basic understanding of Engineering / Procurement / Construction / Commissioning documents.
- Basic understanding of ISO9001 requirements.
- Good technical knowledge and working knowledge of SharePoint.
- Minimum: 5+ years working experience in a Construction/Oil & Gas project environment
- Document control experience including with Electronic Document Management System (EDMS)
- 5+ years practical / hands-on experience in Document Management roles in EPC projects
