Role summary:
Benchmark International is one of the worlds leading sell-side only Merger & Acquisitions specialists, regularly placing highly in deal league tables. We handle company sales across all areas of both the SME and corporate mid-markets.
An exciting opportunity has arisen to join our established organisation in the Cape Town Airport office.
Role responsibilities and duties:
- Administrative
- Office management
- Field all incoming calls on company main line
- Ad hoc PA to MD duties
- Assistance with client meeting, refreshments and on occasion meals
- Manage charity drives under the Benchmark Cares initiative
- Setting appointments, booking hotels, flights, and accommodation.
- On occasion organizing reports, transcribing notes, attending meetings and maintaining accurate minutes
- Managing cleaning staff duties, time and attendance as well as keeping the office presentable on cleaner off days
- Finance
- Liaising with all company service providers as required including
- Landlords on repair and maintenance issues
- Maintaining minimum quantity levels, and ordering of office supplies
- IT departments both locally and in the UK in relation to IT and telephony faults
- Photocopier, internet service provider and other supplier liaison
- Corporate gifts, corporate photography, year end functions,
- General procurement of office supplies and ad hoc project items etc
- Assist company bookkeeper with the reconciliation of;
- Supplier invoices and statements
- Staff expense claims
- Capturing purchase orders
- Reconciling MP Credit card and expenses
- Maintaining Asset schedules
- HR
- Assist with onboarding and offboarding of staff in conjunction with HR
- Maintain staff attendance register
- Marketing
- Manage marketing events (typically 3 pa)
- Providing support to new business development opportunities including liaison with group marketing department in the US, local PR as well as internal reporting and analysis
- Compiling and/or proof reading marketing literature
- Manage MP Linkedin profile and grow connections
- General
- Assisting with any administrative task that is reasonable and lawful in nature
- Highly presentable all staff are required to wear formal corporate attire
- Own reliable transport
- A minimum of 3 years in a similar executive assistant or PA role, ideally in a professional service business environment
- Higher grade English having an excellent command of the language and very strong communication skills.
- Aside from being articulate, well spoken the incumbent will be required to compile event flyers, blog posts as well as proof read, and possibly edit marketing, materials / other company literature. An ability to function at a high level in this arena is a pre-requisite.
- Highly organized with an ability to manage conflicting demands, meet deadlines and operate under pressure
- A proactive communicator capable of providing regular updates and progress reports on activities
