As the Executive Assistant, your primary responsibility involves coordinating communication and deliverables for clients in collaboration with the client's internal team and business partners. If you're ready to be a key player in a thriving environment, we want to hear from you!
What youll be doing:
- Provide high-level administrative support to the agency's leadership team.
- Manage calendars, schedule meetings, and coordinate appointments. Handle emails as well.
- Monitor and proactively address instances where credit card payments are unsuccessful, ensuring timely communication with clients to resolve payment issues.
- Maintain and organize electronic files like receipts and send invoices.
- Assist in coordinating office events and activities like sending gifts and cards to clients.
- Facilitate the seamless onboarding process for new team members by setting up email accounts, preparing necessary agreements, and creating relevant accounts. Similarly, manage the offboarding process by promptly removing access and accounts when individuals transition out of the team.
- Make travel arrangements for team members, including flights, accommodations, and itineraries.
- Maintain a comprehensive record of the team's scheduled days off, birthdays, and employment anniversary dates, ensuring accurate and up-to-date information for effective team coordination and celebration planning.
- Proven 2-3 years of experience as an Executive Assistant.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and Google Workspace.
- Ability to handle confidential information with discretion.
- Proactive problem-solving mindset.
- Experience in a marketing or creative agency is a plus.
- Hands on experience in Zapier.
Remote Status: Fully Remote
Preferred Location: South Africa, Cape Town
Working Hours: 9am to 5pm ET
Holidays: US Local Holidays
Salary: USD 800/month
