Purpose Of This Role
We are looking for an experienced and proactive Executive Assistant to provide comprehensive administrative support to our Cosec and CFO. This pivotal role requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. The successful candidate will play a critical role in ensuring the smooth operation of our executive team.
Key Responsibilities
- Legal research and maintenance of a Contracts Management filing system
- Process and edit documents, contracts and summary sheets
- Ensure that company records are up to date and maintained for all companies within the group with the CIPC (Companies and Intellectual Properties Commission).
- Prepare and maintain documentation ensuring accuracy and confidentiality including but not limited to board and committee packs, shareholder, board and committee resolutions, CIPC amendments and submissions.
- Act as a liaison between the executive team and internal/external stakeholders, ensuring efficient and professional communication.
- Organize and maintain electronic and physical files, ensuring easy retrieval of information.
- Calendar management and scheduling of meetings
- Arrange travel logistics, including flights, accommodations, and itineraries.
- Handle expense reports and financial record-keeping.
- Maintain a high level of confidentiality regarding sensitive information.
- Assist in ad-hoc projects and initiatives as requested by the Cosec and CFO.
- Matric essential
- Appropriate professional qualification i.e. Diploma/Certificate/Paralegal qualification or equivalent preferred
- Experience with CIPC preferred.
- Minimum 10 years proven experience as Paralegal / Executive Assistant / Secretary / Office Administration is essential - preferably in a legal, finance or contracts environment
- Exceptional English verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro
