EXECUTIVE MANAGEMENT ASSISTANT

Responsibilities
The incumbent will be required to provide administrative and secretarial support to the Vice-Principal in order to ensure that operations run smoothly and deadlines are met. This includes, but is not limited to:
- All aspects of diary management;
- Liaison and correspondence with internal and external role players;
- Travel arrangements;
- Managing projects such as high-level international visits and meetings;
- Document management and record-keeping;
- Procurement processes; and
- Managing the physical office space.
Minimum Requirements
- A relevant degree or diploma in either secretarial, management, marketing, science or finance;
- A minimum of five years experience in secretarial and office administration on an executive/senior management level;
- A minimum of five years experience in report-writing and the compilation of presentations in English;
- A valid drivers licence.
- Knowledge of and insight into the operations of tertiary education institutions;
- Knowledge of project and financial administration;
- Excellent language and communication skills;
- Very good data capturing, diary management and filing skills;
- Time management skills and the ability to function independently;
- Good interpersonal skills and the ability to maintain confidentiality;
- Problem solving skills and the ability to work under pressure;
- Experience in working with international organizations and dignitaries;
- Attention to detail and accuracy.
- Excellent planning and organisational skills
- Ability to use available technology
- Good financial administration skills
- Excellent MS Office suite (Word, Excel and PowerPoint) skills
- Excellent business writing skills
- Relevant postgraduate degree in Marketing, Communication or International Relations;
- Advanced certificates in the MS Office Suite;
- Three (3) years experience at a tertiary institution in a senior management or executive office;
- A qualification and experience in project management and/or events management .
The annual remuneration package will be commensurate with the incumbents level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
