Executive Assistant to the CEO

PURPOSE OF THE POSITION

The organisation seeks to employ an Executive Assistant to support the Chief Executive Officer. This role will coordinate and manage executive scheduling, prepare, and organise important strategic and financial materials and plans, assist with connecting organisations, projects, and critical business information to the CEO, and ensure meetings and materials are efficient and effective, while serving as a trusted partner to deliver against the strategic priorities of the organisation.

KEY PERFORMANCE AREAS
  • You will be expected to provide exceptional levels of seamless support to the CEO and stakeholders across the board, in a professional manner.
  • You must be able to handle highly sensitive and confidential financial, legal, personal and organisational information, while exercising professionalism and discretion.
  • Work closely with the CEO to manage daily administrative duties and complete a broad variety of administrative tasks, including managing an active calendar of appointments; completing expense reports; arranging complex and detailed travel plans, itineraries, and agendas.
  • Exercise the utmost discretion in committing time and evaluating needs.
  • Communicate directly and on behalf of the CEO and serve as a liaison between the CEO, the organisations Management Team, as well as external organisations and the public. This includes receiving and screening the CEOs visitors, vetting email requests for meetings, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Advise the CEO of time-sensitive and priority issues and ensure appropriate follow-up.
  • Arrange meeting logistics and prepare documents, financial statements, reports, memos, invoices, letters, meeting minutes and other documents as required.
SKILLS/ KNOWLEDGE/ EXPERIENCE
  • Matric and a postgraduate qualification is required.
  • Minimum 7+ years prior and proven experience in supporting a senior executive or team in a similar sector (NGO/NPO).
  • Excellent English-language writing skills. Proficiency on an additional African language is desirable.
  • Effective communication skills verbal and written.
  • Excellent computer skills (MS Office Suite: Word, Excel, PowerPoint and Outlook).
  • Competent writing, editing and proofreading skills.
  • Valid, unendorsed drivers license and own vehicle.
  • Exemplary organisational, problem-solving, time management skills, and the ability to anticipate the CEOs needs.
  • Excellent relationship building abilities (to liaise with stakeholders, including staff, board members, external partners and donors).
  • SA Citizen with clean criminal history

Location: Gqeberha (100% office-based)

Duration: Full-time 12-month fixed-term contract with the potential to renew for an additional 3 years.

Commencement date: As soon as possible.

Salary: Competitive, market related.
