Executive Personal Assistant
Maximine Business Projects (PTY) LTD is an international company looking for a responsible Executive Personal Assistant to provide personalized secretarial and IT support (when needed) in a well-organized and timeley manner. You will work on a one to one basis on a variety of tasks related to the director’s working life and communication.
Fluency in English + one of either German, Spanish and or French.
Responsibilities
Act as the point of contact between the Director and internal or external clients.
Screen and direct phone calls and distribute correspondence
Handle requests and queries appropriately
Manage diary and schedule meetings and appointments
Make travel arrangements
Take dictation and minutes
Source office supplies
Produce reports, presentationts and briefs
Devise and maintain office filing system
Document expenses and hand in reports
Research and identity solutions to software and hardware issues
Document technical knowledge in the form of notes and manuals
Requirements
Proven work experience (3-5 years) as a personal assistant
Recognized 3 year PA or Secretarian qualification
Knowledge of office management systems and procedures
Outstanding organisational and time management skills
Up to date with latest office gadgets and applications
Ability to multi task and prioritize daily workload
Excellent verbal and written communications skills
Discretion and confidentiality
BSc degree in Computer Science or related field would be considered an advantage.
Bonus Attributes
Familiarity with remote deskop applications and help desk software (E.g Zendesk)
Ability to diagnose and troubleshoot basis technical issues
Hands-on experience with Windows/Linux/ Mac OS environments
Good understanding of computer systems or mobile devices and other tech products.
