Our client is seeking a dynamic and highly organized individual to fill the position of Executive Personal Assistant to the CEO. The successful candidate will play a pivotal role in supporting the CEO and executive team in a fast-paced environment. This role involves managing various administrative tasks, coordinating communication, facilitating travel arrangements, and ensuring the smooth operation of the CEO's office.
- Serve as the primary point of contact for executives, managers, and external partners, maintaining effective communication channels.
- Manage the timely and accurate flow of information between various stakeholders.
- Efficiently manage and organize executives' calendars, including scheduling appointments and coordinating meetings.
- Monitor and respond to executives' emails in a professional and timely manner.
- Coordinate and manage the planning of tours, ensuring all logistical aspects are well-organized.
- Facilitate travel and accommodation arrangements, both locally and internationally, with attention to detail and cost-efficiency.
- Format information for internal and external communication, including memos, emails, presentations, and reports.
- Take comprehensive minutes during meetings and assist in preparing related communication.
- Plan and coordinate various events to ensure their successful execution.
- Handle incoming phone calls with professionalism and direct them appropriately.
- Conduct research and prepare reports as requested by the CEO.
- Undertake administrative tasks to maintain the efficiency of the CEO's office.
- Fulfill ad-hoc duties as assigned by the CEO.
- Manage household matters and au pair coordination.
- Minimum of 3 years' proven experience as an Executive Assistant or Personal Assistant.
- Demonstrated experience in event planning and tour operations is essential.
- Sound knowledge and practical experience in handling visa applications.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is a must.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Solid understanding of business practices and office protocols.
- Possession of a PA diploma or certification is advantageous.
- Must have a valid driver's license and own vehicle.
- Willingness to travel as required.
- Valid passport and flexibility to work outside standard hours.
