Facilities Manager at Camps Bay Retreat

Camps Bay Retreat, part of our portfolio, seeks an experienced Facilities Manager to ensure that all aspects of the property are in good, clean and working condition and plan and maintain the preventative maintenance program.

Minimum Requirements
  • Matric
  • Diploma in Project Management / Facilities Management
  • Valid Driver's license essential
  • Valid First Aid certificate (advantageous)
  • Valid Fire Marshall and Evacuation Certificate (advantageous)
Experience
  • Previous experience in the same / similar position in a 4/5 star hotel
  • Familiar with all the duties and procedures of the Maintenance department
  • Third language advantageous
Duties and responsibilities

Strategy and resource planning
  • Engage with executives and departmental managers to gain insight to the business operations changes, trends and outlook, and align resources accordingly
  • Formulate baseline facilities roadmap for the property
  • Mobilise internal and external resources to support facilities activities
  • Ensure regulatory and corporate compliance by establishing relevant structures, benchmarking and monitoring protocols
Gardens and Grounds
  • Hotel gardens to be immaculately manicured and maintained
  • Irrigations systems to be efficiently operational
  • Plan growing, harvesting and planting of flora depending on crop and season
  • Ensure gardens and nursery are aesthetically pleasing
  • All pathways to be clear of obstructions and debris
  • Prune and trim all hedges, trees and shrubs
  • Ensure litter / debris is taken to the dump
  • Ensure plants in the rooms are regularly looked after
  • Assist the kitchen in vegetable and herb gardens, ensuring it is maintained and always has plants available
  • Maintain all garden equipment and stores
  • Establish suitable controls for water conservation
Property Maintenance
  • Conduct annual Conditioning surveys
  • Initiate, monitor and control Preventative Maintenance Programs
  • Developing and planning of all alterations to ensure more efficient operations
  • Daily walkabouts through property to ensure areas are neat and clean and all work progress is on track
  • Ensure all rooms are in 100% working condition prior to guest arrival
  • Back of house areas are held at the same standards as front of house areas
  • Set in place and manage the asset register to ensure effective asset control
Stores
  • Store securely all tools in a safe place to prevent loss or damage of equipment
  • Ensure that all stocks and supplies are timeously requested and stock is readily available
  • Repair damaged equipment or construct new equipment when so required, within reason, to ensure the smooth running and operation of all areas on the property
  • Ensure storekeeping procedures are followed
  • Conduct monthly stock takes and sign off asset lists
Management
  • Plan, organise, direct and control all aspects of the maintenance and facilities departments
  • Daily issue of work allocations, then monitor to ensure correctness and completion thereof and that work areas are left in a clean and tidy state
  • Ensure a log book is kept of snags picked up by operations team
  • Monitor that the Project Management Books are used for all work completed
  • Understand our standard specs on all wood and metal items
  • To ensure effective communication by attending meetings as required
  • To carry out all reasonable task requested by senior/top management
  • Deal with guests in a polite and friendly manner, offering a high standard at all times
  • Further your own knowledge of management methods and principles to ensure further upgrading in management standards and maintenance procedures.
  • Available to assist with Duty Manager shifts
  • Work overtime when required
Finances and controls
  • Ensure that only approved suppliers are used for contract work
  • Have brief documented and signed off before having outside contractors carry out projects
  • Always check and sign off work completed by contractors before they leave the site
  • Ensure Purchase order procedures are followed
  • Control monthly budget and investigate ways of reducing costs of water, electricity and gas
  • Contract, SLA of Management of technical services
  • Prepare CAPEX and OPEX budget for approval
Health, Safety and Security
  • Be aware of all fire safety and emergency procedures and that the team is fully trained
  • Ensure the team consists of qualified emergency personnel - fire fighters, Health and safety officers, first aiders
  • Ensure all fire equipment is serviced regularly
  • Ensure all security equipment is is in 100% working condition
  • Ensure Key Procedure is adhered to
  • Lead in disaster recovery and emergency planning
  • Ensuring that safety procedures are followed by all staff on the property (including access to the property, CCTV, access to units)
Human Resource
  • Understand and maintain your manplan while staffing according to occupancy and projects
  • Ensure that the recruitment process is followed
  • To hold regular on the job training sessions
  • Conduct probationary and performance reviews timeously
  • Accurately complete HR status forms and submit them before deadline
  • Ensure that all staff are dressed in correct uniform at all times
  • Ensure fair and equitable discipline is applied
  • Maintain accurate attendance records of all maintenance staff
  • Maintain effective roster
  • Maintain staff files
