Role Purpose
The Facilities Services Coordinator will be responsible for oversight and coordination of the day-to-day operations of facility services. This includes the coordination of the Facilities Service Desk, vendor relationships, reporting on Service Level Agreement (SLA) performance, and supporting the overall efficiency and safety of the workplace. The Facilities Services Coordinator will work closely with various departments to meet the needs of the organisation and drive an approach of service excellence within the team.
Requirements
- Relevant 3-4 year degree/NQF Level 5/6 in Business or Administration.
- Minimum of 5-10 years of experience in facilities management or a similar role.
- Minimum of 5 years experience in contract management/service level agreements
- Excellent organisational and multitasking skills with the ability to prioritise tasks and meet deadlines.
- Strong communication and interpersonal skills, both written and verbal.
- Ability to manage budgets and negotiate with vendors.
- Strong problem-solving skills and attention to detail.
- Proficient PC literacy with knowledge of digital transformation within the industry.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
Customer Service Management
- Ensure the performance and service excellence of the facilities service desk.
- Ensure timely and effective resolution of issues and concerns.
- Foster a positive and responsive service culture within the facilities team.
- Build and maintain customer relationships.
- Building relationships with business units to understand their need and requirements.
- Establish and maintain relationships with vendors and service providers.
- Liaise with external vendors, contractors, and service providers to ensure timely and quality delivery of facility services.
- Ensure compliance with service agreements.
- Benchmarking of services.
- Conduct regular inspections and audits to identify potential hazards and ensure compliance with safety regulations.
- Coordinate safety training programs for employees and ensure contractor compliance.
- Monitor expenses and identify cost-saving opportunities.
- Maintain accurate records of service contracts, invoices, and payments related to soft services.
- Produce progress, performance, and activity reports.
- Report on SLA performance of vendors.
- Incident management and reporting.
- Gathering required information and production reports on Group Facilities' sustainability efforts and performance.
- This position typically works in an office setting but may require occasional travel to different facilities or vendor sites.
- The role may require occasional evening or weekend work to coordinate and address response to emergencies or complete projects.
