Primary Purpose of the Job
The incumbent will provide a filing function to the business
Key Responsibilities
Filing
- Checking incoming paperwork (invoices and bank statements) and making electronic copies
- Sorting purchases alphabetically and sales invoices by invoice numbers
- Create or update records with new files or information
- Store all paperwork in designated places securing the important documents
- Enter paperwork into an electronic system by optical scanners
- Deal with all requests to access files and keep logs of borrowed papers
- Maintain efficient filing system to make updating and retrieving files easy
- Follow policies and confidentiality dictations to safeguard data and information
Customer and Stakeholders
- Develop and maintain relationships with internal and external role players
- Develop a climate to facilitate teamwork
Ensure Compliance and Company procedures
- Adheres to deadlines on all filing
- Adheres to Company policies and procedures i.e. health, safety, security, Overseas Move Management Company procedures etc.
Maintains confidentiality and operate with integrity
- Shares information readily when appropriate
- Treats colleagues with respect and maintains confidentiality
- Maintains high ethical standards both personally and professionally
Competence Requirements
- Attention to detail and ensure accuracy
- Computer literate, (MS Office, Excel)
- Proven experience as a filing clerk
- Knowledge of filing systems
- Strictly deadline driven
- Self-motivated and output driven
- Good communication skills (written and spoken)
- Systems orientated
- Be able to cope under pressure
- Planning, coordinating and prioritising
Qualifications and experience required
- Matric (Grade 12)
