Scope and general purpose of the job:
As a receptionist you will be the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all administration tasks are completed accurately and delivered with high quality and in a timely manner.

- To ensure that the Hotel becomes recognized as one of the leading luxury Hotels in South Africa.
- Your role within the organization is one of assistance and information.
- You are the personal assistants of our guests and need to offer help wherever you can.
- The skill that you have to develop is an acting role, never mind your personal mood or preferences, you are a friendly actor playing a caregiver role on the job.
Responsibilities
- Take handover from late shift.
- To be an ambassador to your Hotel and department.
- Check in and out of Guests.
- Taking, canceling and confirming of reservations.
- Handling of guest complaints in a satisfactory manner.
- Know the Hotel: All facilities, room types, room positioning, address, phone and fax numbers.
- Marketing the Hotel (telephonically or personally)
- Cashiering – front Office cash taking.
- Liaise with all departments.
- Know the area (Somerset West, Strand, Gordon’s Bay & Cape Town) and all current happenings and tourist attractions. This will enable you to help Guests with any queries or questions.
- Ensure that Pit checks are done on every shift, and that the following is in order:
- All relevant information is in the pits.
- All postings are correct.
- All dockets are filed in pits.
- Must be familiar with safety and security procedures.
- Be able to understand and operate the switchboard.
- Have knowledge of foreign exchange.
- Ensure that all prelists are balanced.
- Ensuring a clean working environment.
- Understand and operate the Room Master system.
- Do daily backups.
- Have knowledge of all VIP arrivals and stay-overs.
- Ensure that all Wake up Calls are done on time.
- Make sure that reports are printed on a Daily, Weekly & Monthly basis, ensuring that all the figures are correct and ready by 07:00.
- Check that all floats are correct and all Credit Card machines are balanced and have banked on a daily basis.
- Ensure that the Night Audit Pack as required by the Accountant is compiled on a daily basis.
- Ensure that all restaurant dockets are filed accordingly in pits.
- Must liaise with Front Office Manager at all times.
- Check and post charges for all complimentary rooms.
- Responsible for incorrect figures supplied and has to provide reasonable explanations for these errors timeously.
- Constant staff motivation and training.
- Must be familiar with the support procedures for the computers and RoomMaster and have all relevant phone numbers and contact persons who could be contacted in the case of problems.
- Responsible for cashing up of all Food & Beverage outlets and ensuring the safekeeping of departmental takings.
- Must ensure that all takings are checked before dropping in the drop safe.
- To supervise and assist Cleaning Staff, Restaurant Staff and to liaise closely with Security, ensuring that the Hotel Property and Guests are safe and secure.
- Ensure that all items on Night Audit Checklist have been completed.
- Hand over to early shift.
General duties:
- To perform other duties, and / overtime, when so required
- Confidentiality: All written and verbal communication accessible to the employee relating to the company, management and hotel guest are to be confidential and not to be disclosed to any third party or otherwise. This includes names, addresses and personal details of all nature.
- Be familiar with Health and Safety and fire procedures and regulation.
- Attends to all meetings assigned to, and always provides a positive contribution, assistance and team spirit.
- Always attends and is attentive to any training offered.
- Oversee equipment maintenance and cleanliness of whole workstation.
- Assist internal and external guests, place requests and answer enquiries in friendly manner.
Requirements:
- Matric is essential
- Hospitality experience is essential and non-negotiable
- Own Vehicle & license (as shift work is required)
