The African Climate Foundation (ACF) is the first and only African-led climate change re-granting organisation on the continent. Through its grant making and thought leadership, the ACF seeks to support interventions at the nexus of climate change and development that have the greatest potential to deliver long-term socio-economic transformation and inclusive development.
Purpose
The Grants Officer will be a critical member of the ACF Team, reporting directly to the Grants Manager. The Grants Officer works across all program areas, including collaborating with the Executive Office and Finance to ensure effective and efficient grant making processes, contracting and relationship management with ACFs partners. The Grants Officer will also support the management and contracting for fiscally hosted initiatives and projects.
A successful Grants Officer will be adept at managing a project from inception to completion, and have an innate ability to prioritise and synthesise information in an analytical and systematic manner. A comfort with ambiguity and competing priorities is vital.
Responsibilities include but not limited to:
Grants Management
- Maintain working knowledge of ACFs programs and priority funding areas and remain abreast of current research, activities, and trends in the philanthropic sector.
- Monitor grants for legal, financial, and program compliance including but not limited to ensuring that grant requirements are correctly documented in the grant files and database.
- Monitor and document the grantmaking workflow processes, forms, templates, reports and data to ensure full compliance with internal controls and legal requirements.
- Generate reports and data analysis for program and finance team or board.
- Problem-solve complex grant scenarios; liaise with finance and or legal counsel.
- Along with the Grants Team, develop training materials and standard operating procedures. Maintain electronic manuals and update grants and programme section of policy and procedures manual.
- Ensure all staff are aware and knowledgeable of grants management processes and technology to the degree their functions require. This includes training staff of all departments formally and informally when needed.
- Administer the current and future grantmaking database system, including managing data hierarchy, data quality, and reporting, particularly with respect to compliance, and monitoring, evaluation, and learning.
- Maintain and develop relationships with relevant partners or organisations where ACF is the fiscal host.
- Under the guidance of the Grants Manager, work closely with the various units in following up on funding requests, signing of project agreements, fund transfers, reporting obligations, etc.
- Handle processing of various financial and administrative duties for organisations where ACF is the fiscal host.
- Act as project manager for the various projects.
- Draft and co-ordinate necessary consultancy contracts
- Compile and coordinate required due diligence documentation for funding applications for organisations where ACF is the fiscal host.
- Facilitates project approval documents through the acceptance and signature process.
- Reviews incoming invoices related to project activities, ensures satisfactory delivery of goods or services, prepare requisitions, and obtain proper approvals of payments.
- Monitor expenditure to ensure compliance with approved budgets and contracts.
- Bachelors degree in Business or Social Sciences or Project Management (or similar).
- 5-7 years of professional, relevant work experience, with knowledge or background in philanthropy, grant making and administration.
- Experience working with government entities with non-profit organizations.
- Systems skills, especially experience with donor and grant making software (Fluxx, GivingData, and/or SalesForce, as examples).
- Proficiency in maths, excellent computer skills and advanced Excel skills.
- Ability to relate to other staff and foster teamwork.
- Ability to organize multiple tasks and manage deadlines.
- Strong interpersonal communication skills and demonstrated ability to write clearly and persuasively.
- Ability to implement effective workflow processes and procedures.
- Detail oriented and works with high levels of accuracy.
- Ability to think critically, act decisively, and synthesize program and operational issues.
- Willingness to take initiative, high level of self-motivation, and ease working independently or as part of a team.
- Skilled in managing up and across and building resilient collegial relationships.
- Ability to objectively analyze a situation and evaluate pros and cons of any course of action.
- Personal qualities of integrity, honesty, and discretion.
