BUSINESS AREA & TEAM

The Xceptor People and Culture (P&C) function consists of global HR and Talent Acquisition professionals focused on creating a world-class working environment and partnering with the business to design and implement strategies to attract, engage, develop, and retain our employees. We are a P&C team of 10, an employee population of c.250, with offices in Cape Town, UK, Singapore, and the US.

A critical part of the P&C function is our client-facing HR Operations Team, based in Cape Town, who are focused on providing and delivering an efficient, effective, consistent, and customer-friendly HR Operations service to all our employees, across all our locations, throughout the employee lifecycle.

To support the organization's continued growth and the development of the function, we have a new opportunity for a Lead to take responsibility for the strategic and operational remit of HR Operations.

THE ROLE

Your role will be to ensure all our people and HR processes and administration are effectively delivered, within operating procedures, to a high quality. Scope of the function includes (but is not limited to) monthly Payroll processing (Cape Town, Singapore and UK), onboarding (new joiner) and off-boarding (leaver) activities, exit interviews, employee surveys, global mobility, benefits (including annual reviews), Cape Town office management, performance review administration, annual compensation review administration, probation administration, HR Inbox management, regular and ad-hoc reporting, employee letters, development and maintenance of HR process guides, and publication of company Policy updates.

You'll oversee and manage the function and your team of 3, the associated day-to-day tasks, and recognize and implement process and service enhancements/opportunities.

As well as your immediate team, you'll engage and interact with the broader P&C team, our business leaders, managers and employees, and external service providers.

The role will suit a pragmatic, adaptable, service and people-centric individual who enjoys working strategically and operationally in a fast-paced and growing environment.

Key Responsibilities
  • Oversee the day-to-day running of the function.
  • Ensure all HR data and administrative tasks across the entire employee life cycle are completed promptly and accurately, with a right-first-time delivery approach.
  • Effectively maintain and manage the distribution of roles and responsibilities across the team, taking personal accountability for:
    • Daily allocation of queries from the HR inbox/Query Management System
    • Account Manager and point person for HireRight (background screening) escalations
    • Definition and ongoing review of the HR Process Guides
    • Annual review of benefits in the UK, Cape Town, and Singapore, oversight of the benefits review process in the US
    • Monthly review and approval of all global payrolls
    • Ownership of all employee surveys.
  • Ensure KPIs and SLAs are met.
  • Continuously coach the HR Operations Team to provide accurate guidance and advice on HR-related requests, issues, and queries and when/how to identify and escalate risks or concerns.
  • Ensure the integrity and organization of employee data and information, HR systems, and platforms, and that any compliance and/or legal requirements are adhered to.
  • Take responsibility for collecting MI data and reporting to support analysis and insights of key people metrics, highlighting areas of concern and improvement opportunities.
  • Identify and implement continuous improvement opportunities, with best practices, scalability, and futureproofing in mind, to include process development, streamlining, and standardization.
  • Ensure adequate monitoring and measures to avoid mistakes and inaccuracies within the function.
  • Manage, coach, and develop the HR Operations team and foster knowledge sharing and learning.
  • Ensure HR process guides are documented and maintained.
  • Represent HR Operations in wider HR projects that touch the function.
Key Skills

ESSENTIAL:
  • Strong relevant experience in a client-facing, global HR Operations, or shared services function.
  • Exceptional knowledge and experience of all tasks within an HR Admin function/setting.
  • All round team leadership and management experience.
  • Knowledge and experience of HR best practices, and employment legislation and policies applicable to the UK and South Africa.
  • Demonstrable experience in successfully developing and delivering fit-for-purpose KPIs and SLAs.
  • Technology savvy - E.g., HRIS systems, Microsoft Office (including strong Excel skills), benefits platforms, and databases.
  • Strong data analytics and insight skills.
  • Experience working with and managing 3rd party suppliers.
BENEFICIAL:
  • Experience working in a FinTech or software organization.
  • Academic or Industry qualification in HR.
  • BambooHR system experience.
  • Employment law knowledge/experience applicable to the US and Singapore.
  • Knowledge of GDPR legislation
