The HR Officer will be tasked with administration and execution of HR-related activities related to the entire employee life-cycle from onboarding until departure.
Role Responsibilities And Key Focus Areas
- HR process: oversight and implementation of HR processes.
- New starters
- Implement and manage the induction process.
- Ensure, where applicable, that new employees are made aware of, trained if necessary and added to the relevant timesheet system, leave tracking and management, ESS, benefit providers and input/communication into payroll.
- Oversee the first 90 days process, including reminders for liaison with HR, employee team manager and other stakeholders.
- Employee lifecycle
- Draft, manage and maintain HR-related documentation pertaining to the life-cycle of an employee, including but not limited to: employment letters, increase and promotion letters, disciplinary communications, transfer letters, confirmation of employment, maternity agreements, leave agreements, fixed-term contract renewals, visa documentation, certificate of service, SARS letter etc.
- Conducting a recon each year to ensure that all client access is renewed for Jurumani employees.
- Responsible for the upkeep of Istratgo processes and data. Loading of new employees, removing exited employees, loading of scorecards, changing of scorecards, communication, reports, 360 review setup on the system etc.
- Exits
- Process employee terminations in accordance with set procedures and input into payroll.
- This includes confirmation of termination dates in accordance with contractual obligations, setting up exit interviews, sending out termination documentation, ensuring the exit checklist and IT asset return are adhered to, and annual leave reconciliations (in conjunction with the payroll administrator) to ensure no errors in final payment.
- HR consulting
- Work closely with the HR manager in support of his / her function and role. Disciplinary discussions, drafting and issuing of warnings. Responsible for liaising with external counsel and communication with CCMA. Processing of IR-related invoices. Conducted market research for new service providers. Prep all evidence bundles to be presented at CCMA proceedings.
- Provide input into and guidance on company policies and procedures where required.
- Ad-hoc assistance and support to the HR team, Operations Manager and Client Services.
- Function oversight: manage the delivery of various functions.
- Contractor management
- Jurumani has several contractors working with us. We engage with a third party to manage time sheeting and invoicing, however, all other HR functions reside with Jurumani HR.
- This function entails but is not limited to maintenance of the Contractors lists, timeous monitoring of contract expiration dates, liaising with the relevant management to discuss contract extensions and relevant rate reviews, maintenance of employment contract templates (in conjunction with the HR manager), and maintenance of a work permit database to flag expiring work permits.
- Induction programme: assist where necessary.
- Plan and coordinate the Jurumani Induction Programme, which is implemented monthly.
- This includes but is not limited to facilities and IT preparation, catering, managing meeting invites and attendance, welcome packs, Induction communication material maintenance, preparation of material for presenters, presenting material and coordination of the programme itself.
- Time tracking and reporting
- Jurumani is engaged to provide services to clients in a number of different ways. In many of these, tracking time invested is required. The HR Officer is responsible for general adherence to the time tracking policy.
- Ensure, where applicable, that new employees are added to the relevant timesheet system(s).
- Maintain and update the system(s) with users and data where necessary.
- Ensure timeous and compliant submission of timesheets by employees.
- Function support: provide support and input into related functions.
- Recruitment
- Work closely with the Talent team to ensure all documentation for new starts is timeously received and processed for payroll, IT processes and client-facing communications.
- Compliance
- Compiling of the yearly employment equity data for the audit. Presenting sample data for each chosen sample. Coordination of the EE-related interviews for the auditors.
- Assist with all statutory and compliance reporting (EEA2, EEA4, WSP, ATR, etc.)
- Communications
- Update and maintain the Jurumani Group e-mail listing.
- Send out Birthday e-mails and other relevant company communications, such as timesheet reminders, HR documentation updates, etc.
- Matric Certificate - essential.
- HR Diploma or HR Degree (or related qualification) - essential.
- 2-5 years within an HR Admin and/or HR Generalist type role - essential.
- Intermediate to Advanced certification in MS Excel and MS PowerPoint would be an advantage.
