What You'll Do:
- Proven experience as an office manager or similar administrative role
- Strong organizational and management skills
- Excellent communication and interpersonal abilities
- Proficient in Google Suite and other office management software
- Proven ability to manage multiple projects
- Knowledge of office management procedures and basic accounting principles with experience supporting Human Resources functions such as employee relations, recruiting and training in a corporate environment.
- Familiarity with South African health and safety regulations, including Occupational Health and Safety Act (OHSA) regulations, and experience as a health and safety officer.
- Knowledge of emergency response procedures, fire safety, and hazardous materials management.
- Ability to conduct safety audits and investigations and develop safety policies and programs in accordance with South African laws and regulations.
- Bachelor's degree in business administration or related field is preferred.
- Oversee the general office operations, including cleanliness and organization.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Resolve small issues escalated by the employees related to the office operations
- Manage office supplies and ensure they are adequately stocked.
- Manage the office budget and ensure cost-effectiveness.
- Supervise and manage office staff, including hiring, training, and performance evaluations.
- Ensure that the office is in compliance with South African health and safety regulations, including the Occupational Health and Safety Act (OHSA).
- Organize and coordinate office meals and snacks.
- Organize corporate events and fundraisers.
- Encourage a positive and productive work environment by fostering a sense of initiative and hunger among staff, Inclusivity.
- Handle external or internal communication or management systems.
- Manage agendas/travel arrangements/appointments etc. for the upper management Manage phone calls and correspondence (e-mail, letters, packages etc.).
- Support budgeting and bookkeeping procedures, such as managing an asset register, doing recon on office expenses, etc.
- Create and update records and databases with personnel, financial and other data.
- Track stocks of office supplies and place orders when necessary.
- Submit timely reports and prepare presentations/proposals as assigned.
- Manage and implement office Health and Safety policies and procedures in accordance with South African laws and regulations.
- Conduct regular safety audits and investigations, and make recommendations for improvement.
- Develop and deliver safety training to employees in accordance with South African laws and regulations Ensure compliance with the Occupational Health and Safety Act (OHSA) and other relevant South African regulations.
- Respond to emergency situations and coordinate with emergency responders as necessary.
- Assist with HR-related administrative duties from time to time and ensure utmost confidentiality and integrity of information and data processing.
