The Role:
The EQ Administrator will be responsible for managing component exchange and the service exchange jobs end-to-end process and ensuring accurate tracking and invoicing of components. The EQ Administrator will be responsible for the timely opening and processing of EQ jobs for component and service exchange. They will create accurate reports using statistical data to spot customer trends. They will be required to code and sort documents for precise processing and filing, ensuring prompt responses to redirect routine enquiries from external and internal stakeholders. They will need to communicate with internal/external stakeholders regarding deliveries, stock, pricing, invoices, and ad hoc activities, while following the organizations standard operating procedures.
Key Responsibilities:
- Track timely returns of core components and invoicing accordingly
- Track repaired units by serial number
- Monthly tracking of invoicing to align with forecast plan corrective action for deviations.
- Liaise with suppliers for timely repair and return of components.
- Manage communication for stakeholder alignment, i.e., customers, suppliers, Warranty team, Site Managers, Workshop Managers
- Open new jobs on the system and compile data packs
- Work in progress (WIP) management
- Compile quotations for customers
- Follow up on outstanding orders from customers.
- Follow up on outstanding spare parts.
- Attend to creditors/suppliers queries.
- Expedite delivery of orders and invoicing.
- Reconcile job orders.
- Capture time sheets on the system.
- Perform office duties such as typing letters, memos, minutes of meetings.
- Ensure that all documents are completed correctly.
- Attend debtors queries.
- Compile weekly and monthly reports: Core Tracker, Repaired Component Tracker, Accounts Receivable Management.
- Grade 12
- Administration/Supply Chain qualification (NQF level 5) (advantageous)
- Intermediate computer and MS Office Suite literacy
- Intermediate English proficiency
- 2 years experience in office administration, preferably in a similar role
- Ability to work in a high-pressure environment
- Aurora experience (advantageous)
