My client is a busy, fast paced creative environment, which requires a proactive, energetic front office manager whose skills need to extend to managing the smooth running of the studio on a day-to-day basis, while supervising a small team of support staff. Ideally you will have been in a similar role with a level of responsibility for handling diverse aspects across an office environment, being able to "think on your feet", and at the same time, have a strong attention to detail and accuracy.
Your Responsibilities Will Include
- implementing and maintaining administration procedures/office administrative systems
- Basic reception and front desk responsibilities including managing telephone system; handling courier deliveries and collections; relaying messages; communicating studio alerts to staff;
- Maintaining IT & AV hardware and software and liaising with outsourced IT support team to ensure all systems are running smoothly to ensure productivity
- Organising boardroom meetings and catering
- Maintaining upkeep of studio furniture
- Assisting with employment equity submissions
- All travel arrangements for staff
- Overseeing cleaning staff
- Ordering stationery and managing office storage
- Organising induction programmes for new employees
- Ensuring that health and safety policies are up to date
- Minuting weekly status meetings with design team
- Assisting the organisation's HR function by keeping personnel records up to date, arranging interviews when necessary
- Studio security: managing keys; opening and closing procedures; alarm systems; etc
- Collating of staff timesheet information and issuing to financial manager
- Manage and update asset register for insurance purposes
- Apart from MS Office software skills, ideally you will oversee that staff are updated on all software packages used in this office.
