Your Tasks
Objectives
To provide comprehensive administrative support to the Senior Management Team (SMT) and Administration & Internal Communications Manager.
Primary Responsibilities
- Answering the telephone in a prompt and professional manner - being the voice of the company.
- Reception and hospitality of visitors to the office.
- Responsible for making domestic business travel arrangements mainly via the use of an online booking tool (flights, car rental, accommodation, visa support etc.)
- Assist the Administration & Internal Communications Manager with a variety of tasks not limited to data capturing, reporting, credit card statement recons, office maintenance & cleaning, parking, catering, gifting, staff meetings & events, insurance claims etc.
- Assistance with the implementation of new office procedures and processes.
- Management of the info@juwi.co.za mailbox.
- Maintain the shared calendar.
- Update Office registers as required i.e., Fire Drill List, Contact List, WhatsApp Groups, Inventory etc.
- Manage Uber for Business account
- Petty cash control.
- Maintain office supplies.
- Responsible for all mail and courier services.
- Provide general administrative support to all staff e.g., typing, copying, scanning, binding, filing, document formatting and retrieval, document control etc.
- Ensure that the reception area, meeting rooms, printer/office supply areas, are kept orderly.
- General diary/meeting management, room bookings and appointment scheduling.
- Provide administrative support on special projects for other departments as needed.
Qualifications And Experience
- Matric and/or relevant diploma.
- Minimum 5 years working experience as an Assistant.
- Excellent communication skills and telephone manner with the ability to write clear, grammatically correct communications to internal and external contacts in both English and Afrikaans.
- Good typing speed (60 wpm).
- Fully computer literate. Competent to an intermediate level in Microsoft Office packages e.g., Word, Excel, PowerPoint & Outlook - to be supported by certification.
- Comprehensive travel booking experience, both domestic and international.
- Event coordination experience.
- Strong organisational skills with the ability to quickly assess and prioritise work requests, managing diverse demands on your time.
- Self-motivated with the ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed methods and standard acceptable practices.
- Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.
- Meticulous and detail orientated.
- Has initiative and good analytical and problem-solving ability.
- Assertive with excellent conflict and stress management.
- Active team member with the ability to establish good working relationships.
- Interpersonal and intercultural competencies. Experience in working in an international environment advantageous.
- Willingness to learn.
- Handle personal and confidential information with discretion.
- Professional and presentable.
- Drivers license and own transport (advantageous).
