Key Responsibilities:
- Appointment Management: Schedule, confirm, and manage appointments, ensuring all details are accurately recorded and communicated.
- Application Support: Assist in filling out application forms for various purposes, ensuring all required information is provided and deadlines are met
- Travel Coordination: Arrange and manage travel logistics, including booking flights, hotels, transport, and accommodation, ensuring smooth and efficient travel experiences.
- Payment Assistance: Handle payments for hotels, transport, and other travel-related expenses, keeping accurate records and ensuring timely transactions.
- Ad Hoc Tasks: Provide support with various other tasks as needed, demonstrating flexibility and a can-do attitude.
- Attention to Detail: Ensure all tasks are completed with a high degree of accuracy, maintaining meticulous records and documentation.
- Communication: Maintain clear and effective communication with all parties involved, ensuring information is relayed accurately and promptly.
Have you been an admin/executive assistant for a property finance brokerage in the past?
Have you been ad admin/executive assistant for a MD/CEO?
What tools and software are you proficient in for handling administrative tasks?
RequirementsExperience: Proven experience as a Personal Assistant or in a similar role is essential.
Organizational Skills: Exceptional organizational and time management skills, with the ability to multitask and prioritise effectively.
Attention to Detail: Strong attention to detail, ensuring all tasks are completed accurately and efficiently.
Proactive Attitude: Highly motivated and proactive, with the ability to anticipate needs and act accordingly.
Communication Skills: Excellent written and verbal communication skills.
Technical Proficiency: Proficient in using various software and tools for scheduling, travel arrangements, and document management.
Discretion and Confidentiality: Ability to handle sensitive information with the utmost discretion and confidentiality.
Adaptability: Flexibility to handle a variety of tasks and adapt to changing priorities
Preferred Qualifications:
Experience in booking travel and accommodation.
Familiarity with financial transactions and record-keeping.
Strong problem-solving skills and the ability to work independently.
Data entry into zoho/CRM and Smartr365
Exceptional at booking meetings into diary - diary management
Phone calls to lenders for our tech platform
Prepare interview questions for podcast for MD
Personal errands for MD - like moving addresses for mail when moving house amongst much more
Organising folders within data rooms for Merryoaks business
Assist preparing PowerPoint presentations
