Role Purpose
Provide an effective and efficient administrative and operational assistant function to support the management team.
Requirements
- Matric
- Relevant tertiary qualification.
- 5 years' administration experience in Financial Services environment
FSCA
- Be responsible for editing rules and amendments for submissions
- Assist with drafting of submission cover letter
- Submit necessary documentation to FSCA.
- Follow up on approval of submissions with necessary stakeholders.
- Manage documentation in client folder once approved
- Keep Amendment register updated.
- Act as a FSCA liaison.
- Assist with and direct FSCA queries etc submissions, to the relevant parties.
- Setting up of Consultants Forum sessions
- Arranging presenters for the Consultant Forums
- Draft and approve final agenda for Consultant Forums
- Publishing all relevant presentations on MS Teams
- Arranging Board rooms in all regions and Video Conferencing connections
- Arrange Refreshments
- Ensure Attendance register is completed by attendees for all sessions
- Prepare and submit applications for CPD points
- Issue certificates once approved by FPI
- Annual Payment for CPD Programme renewal
- Annual Payment for CPD Provider renewal
- Process JDE- Invoices for MCA (FAI, FPi, metrofile)
- Process expense claims for corporate card recons
- Ensure accurate electronic Record keeping of all claims submitted
- Process with new vendor onboarding
- Process expense claims for Out of Pocket expenses on WeExpense
- Conversion of documents from PDF to Word.
- Ensure all appropriate documents are password protected.
- Update and collate documents and annexures for proposals and tenders for MCA.
- Process and assist with travel expense claims.
- Ensure travel arrangements are processed timeously eg flights and accommodation.
- Laptop serial number register and out of warranty project.
- Ordering of new laptops and ensuring distribution runs smoothly.
- FPi Member renewal monitoring and payments.
- Updating of corporate members linked to employers.
- Monitoring of CPD stats.
- Arranging attendance of conferences i.e PLA.
- Arranging of attendance of webinars.
- Arranging team building.
- IRFA annual membership renewal.
- Arranging of signature of documents MCA & Clients.
- General Personal Assistant functions for MCA.
- Merging of documents as and when needed.
- Support all technical committee chairpersons and key individuals.
- Ensure governance documents are submitted and obtained.
- Assist to ensure technical committee and key individual year plans are executed.
- Assist consultants in obtaining data or documents for Management Information and audits.
