Scope
Project Management
- Run weekly project management tool (Monday.com), Lead weekly alignment meetings, and ensure all required deliverables are in the system and being updated upon completion.
- Manage all required meetings for the team, including scheduling and coordinating across internal and external stakeholders
- Maintain required tracking tools for the team and circulate to required audiences.
- Act as a liaison between executive, their team and other key business partners keeping everyone connected and informed.
- On behalf of the group director, actively coordinate and track progress to ensure the groups objectives are met for cross-border brands and portfolio reviews
- Lead preparation of materials for group travel including required research and presentations for leadership.
- Contribute to the preparation of executive briefing materials through creation of materials and providing valuable insights on the status of relevant projects.
- Plan and develop agendas for meetings, document and communicate decisions and action items from meetings, ensure follow-up and closure of action items and share information and learnings across teams.
- Perform and prioritize special projects as directed; handle confidential and sensitive information.
- Create Letters of Intent where applicable and monitor and track the status of the teams deals within the URW systems.
Actively monitor the media for news and updates on strategic brands of interest or major market moves & circulate to the team.
- Prepare quarterly investment announcements for strategic brands and share across relevant teams in the organization.
- Prepare briefing materials for each external meeting which includes:
- Bios on relevant attendees
- Press clips for the organization being met with
- Consolidation of performance data/leasing conversations where relevant across EU and US
- Leverage company data tools to pull relevant data quickly and accurately for both internal and external meetings and presentations.
- Ensure the team is tracking to budgeted expenses across all categories.
- Coordinate all aspects of travel, optimizing and balancing executive's time with cost of travel, including forecasting and managing to the travel budget.
- Prepare expense reports for the executive, review and approve expense reports for direct reports in accordance with company travel policy.
- An undergraduate degree is required or post-graduate degree in a related discipline, would be a strong plus.
- Experience in effectively interacting with executives and senior leaders.
- Experience of building effective business processes for diverse teams.
- Exceptional verbal, written, and interpersonal communications skills.
- Comfortable communicating across all levels of the organization in an effective, situationally appropriate, clear, and high-quality manner.
- Strong multitasking ability, switching priorities and focus as needed.
- Strong emotional intelligence enabling you to build relationships with people and teams across the company to foster process improvement and resolve issues.
- Attentiveness to detail: ability to follow through, think ahead and through responsibilities, double check work before proceeding.

Exempt
$65k-85k + Discretionary Annual Bonus
