The Leasing Coordinator supports the leasing team and functions. Managing inbound leads, qualifying them up to the point of a property viewing, and overseeing the lead funnel. Responsibilities include appointment viewing schedules, database management and tracking of leads and processes, and preparing necessary documentation for the leasing process.
Key Responsibilities
Lead Coordination
- Manage all inbound leads, including call-ins, website chatbot and WhatsApp line.
- Call leads to understand their requirements for space.
- Establish availability date for an onsite viewing before handing over to the onsite team.
- Allocate leads to applicable team members daily.
- Assist in coordinating and scheduling viewing appointments with onsite team.
- Communicate and follow up on lead conversions.
- Perform and conclude necessary vetting procedures on leads.
- Track and capture required lead information and processes.
- Track feedback from leads and identify and communicate trends and themes for optimization and improvement.
- Manage the lead funnel, ensuring deal owners are responding promptly to deals.
- Prepare leasing documentation, including quotes and offers to lease.
- Collate and upload credit reports and FICA reports.
- Regularly update price lists in line with vacancies.
- Assist with coordinating leases for the Parks Team.
- Ensure our systems are accurate and all lease / product details are correctly captured.
- Provide support and assistance to the National Head of Leasing and the leasing team as required.
- Ensure that you live our value of client-centricity at all times, addressing any potential and existing clients, with consideration, courtesy, and professionalism.
- Understand clients' commercial needs and lease agreement requirements.
- Communicate with clients on applicable queries and complaints, providing prompt and positive feedback and solutions.
- Be the go to point between the client and our onsite team to progress deals from sending quotes and/or offers to lease to the point of countersign and deposit payment.
- Filter all internal calls from existing clients through the switchboard.
- Differentiate between operations issues, onsite assistance requests, account queries, or referral calls before transferring or supplying email contact references.
- Use the switchboard number as the main contact number for existing clients instead of sales numbers.
Must be South African Citizen
Must have good working knowledge / be geographically comfortable with Johannesburg areas
Strong verbal and written communication skills in English
Individual should have a passion for telephonic sales and willingness to work under pressure
Should have their own transport and Drivers License to move between locations.
