- Filing of important agreements and company documents.
- Maintaining of company statutory files.
- Sorting and maintaining filing system of original documents.
- Preparing and maintaining company building files.
- Maintaining registers (resolution register, share register and original document register).
- Register new and implementing changes to company info on CIPC.
- Issuing and cancellation of share certificates.
- Preparation of certain company resolutions (using templates).
- Annual duties.
- Open and close bank accounts.
- General administrative instructions and follow ups.
- KYC requirements.
- Credit cards and petrol cards admin.
- Vehicle license renewals and tracking devices.
- Application for and administration of E-tags.
- Circulation of resolutions and other agreements for signatures.
- General FICA requirements (property or share purchase/sale transactions).
- Property Practitioners membership administration.
- Entity SARS registration and WCA registrations.
- BBBEE administration, liaising with consultant and registration process with Legal Manager.
- Insurance related administration, claims and/or renewal assistance.
- Any other general administrative function as requested by Legal Manager.
- Typist duties - to type dictations into documents or work sheets or comments on PDF documents.
- To keep and record time spent of manager and herself/himself on instructions.
- To produce a time report monthly from Law Practice.
- To liaise and schedule meetings/appointments internally.
- To process payments when requested for signature and give it through to the finance department.
- To keep schedules of payments where necessary.
- To obtain signatures on documents such as resolutions and contracts.
- To assist with filing and organising Building and Statutory files.
- To maintain and manage the Statutory Filing System.
- Any other related assistance required by the Legal Manager.
- Matric/NFQ 4
- Minimum of 3-5 years applicable work experience.
- Experience in Legal Typing.
- Experience with the CIPC platform.
- Experience with different company statutory documents.
- Excellent administrative skills.
- Experience with commercial agreements would be an advantage.
- MS Word and MS Excel skills of critical importance.
- Afrikaans and English fluency.
