Position Description
This is a position for a Legal Secretary who will effectively manage the general office administrative and operational functions of the Law Services Department and to provide operational and administrative support to the Head: SRA Law Services and the Law Services team within SRA: Law Services.
Output/Core Tasks
Provide secretarial, operational and administrative support in terms of the following:
- General Office administration, including admin support to the Head: SRA Law Services and Law Services team i.e. diary/email management, travel arrangements, record keeping, scheduling, minutes and documents, remote working support; etc.
- Taking inventory and ordering office supplies as needed, annually, in advance of year end.
- Attend to payments via the payments systems to vendors, payment of attorney invoices etc.
- Allocation of work requests amongst the SRA Law Services team and ensuring an even spread of work across the team considering the various allocation parameters as guided by the Head: SRA Law Services.
- Data capturing of incoming work requests and allocations.
- Ensure that targets are reached within services agreements by administratively assisting and supporting the legal team in fulfilment of their duties.
- Collation of data for various reporting periods.
- Preparation, drawing up and timeous submission of reports including monthly reports.
- Assisting with recruitment and onboarding processes as well as staff exits.
- Client and stakeholder engagement.
- Set up, organize and maintain database and files / repository of all law services department information in accordance with recognized procedures and standards including preparation of accurate and timeous reports.
- Assisting with business continuity planning.
- Perform ad-hoc tasks as required.
Role Requirements:
- Grade 12
- Legal secretarial & administrative qualification/s
- 3 years experience as a Legal secretary within the insurance industry
- In-depth working knowledge of relevant computer programs including MS Office; digital platforms such as MS Teams, Zoom and other online meeting options
- Working knowledge of legal research and databases
- Ability to identify matters in respect of the type of legal assistance sought
