Facilities Co-Ordinator

PURPOSE OF ROLE

Lesedi Nuclear Services a Facilities Coordinator who will work closely with the Facilities Manager and Maintenance to support all facilities hard service activities. The role involves providing administrative and technical support to the Facilities Manager, Maintenance Technician, stakeholders, and tenants. Key responsibilities include administration of office functions such as raising purchase requisitions, stock coordination, security access assignments, database management, daily Hard Service operations, and general support services for departments.

KEY PERFORMANCE AREAS

Facilities Coordination (Hard And Soft Services)
  • Compile weekly status reports.
  • Ensure SLA compliance.
  • Assist with project implementation.
  • Manage security access-control database.
  • Represent department in meetings.
  • Provide administrative support.
  • Maintain policies and files.
  • Assist with space planning and equipment logistics.
  • Assist the maintenance technician with hosting contractors as and when needed.
Facilities (Hard) Asset Management
  • Account for all building assets.
  • Liaise with helpdesk administrator, on closing of maintenance tickets.
  • Record and register all building assets and tools.
  • Technical Administration:
  • Understand various systems (e.g., Biometric, Fire, BMS, HVAC)
  • Assist with contractor management.
  • Follow up on job cards, quotations, invoices, and payments.
  • Formulate maintenance and project job timelines.
Tenant and Rental Management
  • Oversee tenant relationships, ensuring their maintenance related needs and concerns are addressed promptly.
Safety
  • Act as Safety Representative
  • Maintain safety awareness.
  • Assist with contractor safety inductions.
  • Follow up on safety files.
Additional Tasks
  • Perform other reasonable tasks as required by the department.
  • Assist various departments, not limited to facilities.
Qualification & Experience
  • Higher Certificate / Diploma (advantageous)
  • 3 years Office Administration experience
  • 3 years Facilities Management experience
  • Advanced Excel, basic to intermediate PowerPoint, MS Word, and report writing skills
