A manufacturing entity is looking to recruit an experienced Shipping Finance Administrator to work in their Kyalami offices. The successful incumbent will be a general assistant with experience in administrative and financial support.
The ideal candidate will be a proactive and well-organized individual who
can manage administrative tasks, support colleagues, and maintain a welcoming office
environment.
The successful incumbent will play a crucial role in supporting our financial and
logistics administration operations, i.e. various finance-related tasks, including international
transactions, plus assisting with logistics documentation and support. Training will be provided to
the successful candidate, however some varied knowledge and experience are required.
You will be responsible for:
administration of documents which includes linking the following documents onto Pastel:
purchase orders, order confirmations, payment documents, shipping documents, bills of
Lading and Airwaybill, SAD500 Customs clearance, GRVs Material Test Certificate, and
Payment Documents
updating the status of shipments on incidents from in transit to GRVd
assisting with the administration of CGIC applications
some ad-hoc assistance with Credit applications
general filing and administration
general finance team assistance
assistance with international transactions: assist with the documents for international
payments, including foreign currency transactions, and supplier payments.
compliance and documentation: ensure compliance with international financial regulations,
and reporting requirements, and assist in the preparation of documents for import/export
purposes.
communication and collaboration: work closely with international vendors and the financial
team to facilitate financial transactions and collaborate with other departments to provide
financial information and logistics support as required.
Requirements
Requirements:
experience as an office administrator or similar
must be computer literate.
proficiency in using Pastel or similar ERP required
should understand Purchase Orders
great verbal communication skills both written and verbal, specifically in English.
exceptional organizational skills.
strong understanding and prior experience in finance or a related field is a plus.
experience or an understanding of commercial foreign exchange transactions would be a
bonus
understanding of basic imports and logistics would be beneficial.
proficient in Microsoft Excel, plus Outlook and MS Word
attention to detail and strong analytical skills.
ability to work effectively in a team and meet deadlines.
Candidate must be willing to:
Learn the position learn the linking, basics of the documents what they mean and why they must be linked.
What to do when the documents have not been received.
Learn the entire CGIC function to assist with applications and advising the sales people.
Learn how to manage a credit application, call for references, update Pastel with information, generate the company code, etc.
