A property development and construction company is looking for an office assistant in Paarl.
Job requirements:
- Driver's licence and own transport.
- Minimum Grade 12.
- Previous secretarial/administrative experience will be essential
- Basic knowledge of accounting
- Be assertive and self-motivated
- Strong organisational skills and ability to prioritise and plan daily duties
- Ability to meet strict deadlines
- Good telephone manner
- Good communication skills, fully bilingual in English and Afrikaans (reading, writing and verbal communication)
- Display good judgement and demonstrate initiative
- Be proactive in identifying and solving problems
- Demonstrate accuracy and attention to detail
- Be assertive and have the ability to work independently and under pressure
- Be a self-motivated individual and a good team player.
Job responsibilities:
- Screening of telephone calls, enquiries and requests, and handling them when appropriate - professionally and efficiently
- Taking messages and assist where necessary
- Dealing with incoming correspondence - often corresponding on behalf of directors
- Electronically filing of e-mails, attachments, etc. as well as hard copies when required
- Liaising with clients, suppliers, co-workers, etc.
- Taking minutes at meetings, distribution and filing thereof, when needed.
- Completing credit applications and contracts when required.
- Managing stationery stock, printer ink etc. when required.
- Assisting in personal matters of Directors as required from time to time.
- Monthly updates on Directors’ Speed Fines, writing requests for reduction and arranging payment of any traffic fines, etc.
- Any ad-hoc tasks that may occur.
