Receives and responds to requests concerning HR policies/programs. Appropriately routes requests from employees to others for additional information.
May respond to practice inquiries via online resources and/or telephone. Processes various paper and electronic forms related to documenting human resources activities such as new-hire onboarding, change-of-status, performance evaluations, benefits, termination of employment, etc. Inputs employee personal data into human resources information/computer system (HRIS) database and/or documents activities as requested.

HR Shared Services Administrators deliver administrative support to the organization on various HR subject matters. This individual is responsible for supporting HR initiatives, in support of organization growth. This position focuses on administration and transactional activities within the HR Shared Services department. They provided direct administrative support to senior HR employees in the HR Shared Services department and works cooperatively with team members to support completing the HR department objectives.
Key roles and responsibilities:
- Act as point of contact for all escalated HR-related queries from employees and external partners.
- Organize and maintain employee records in an HR Shared Services hub.
- Provide administrative support for the full recruitment process including sending and drafting regret letters.
- Liaise with recruitment agencies to set up interviews, psychometric assessments, and queries when requested.
- Co-ordinate administration for HR projects & participate in HR audits.
- Document and track human resources actions by completing forms, reports, logs, and records.
- Coordinate training records and ensures management is updated with all training attendances.
- Drafting standard correspondence throughout the employee lifecycle such as confirmation of employment and changes to terms and conditions.
- Benefit and compensation administration.
- Coordinate all administrative and logistics related to the recruitment process including conducting pre-employment checks and preparing employment offers.
- Coordinate all training-related logistics and coordinate and execute relevant activities for learnerships and graduate programs.
- Assisting with payroll preparation by providing relevant data, like absences, bonuses, and leaves.
