National Project Coordinator | G4S Secure Solutions | Head Office, Centurion

Job Introduction

G4S Secure Solutions (SA), a leading provider of integrated security management solutions, has a vacancy for a National Project Coordinator based at our Head Office in Centurion, Gauteng reporting to the National Operations Manager:ESS and Finance Manager:ESS.

The successful incumbent is a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which the National Project Coordinator plays within a successful business unit. The incumbent will be expected to be results driven and to live the values of the organisation.

Role Responsibility

Management of Financial Administration for Technology Division
  • Consolidation of monthly invoices received
  • Follow-up with 3rd parties and vendors
  • Facilitating effective delivery of orders
  • National review & reconciliation of costs of projects, petty cash, Technology Supplier Payments
  • Control of effective operational system usage, specifically billable hours vs revenue received vs Sub contractor usage
  • Assist procurement with vendor on boarding and supplier order/invoicing queries
  • Meet with suppliers for account & invoice queries
  • Overview of Work in Progress status and expected deliverables
  • Ongoing margin improvement initiatives (Gross profit & Margin)
  • Costing overview
  • Price list management
Effective management and control of regional and site assets
  • Maintenance of national inventory levels transport, ordering, purchasing
  • Distribution of all inventory as required and ordered
  • Maintenance of inventory database on operational system
Procurement
  • Supplier relationship management
  • Managing the Procurement process
Asset Management
  • Compiling a combined inventory from all sites in the region.
  • Conducting a yearly site verification for Head Office. Comparing site inventories to the National Fixed Asset Register.
  • Completing disposals of assets, regional transfers, cancellations of equipment rentals, site terminations
  • Asset life cycle and ancillary cost management
Effective Project Administration, Deployment And Requirements
  • Process travel on Travel platform for approval
  • Import and customs clearing for project inventory
  • Control and maintain accurate WIP status
  • Escalate to management regarding bottlenecks and requirements
  • Review all project profitabilities
  • Assist with Project spill over in all regions
Effective Operational System Administration
  • Execute national buyer function
  • Check Unassigned Jobs, Action required Jobs, Referred by Finance jobs on Operational System
  • Process completed Job Cards for Request For Order & No Charge Quotes
  • Load client & suppliers
Health and Safety
  • Participate in the design/ development/ review/ implementation and monitoring of the branch/region/national safety plans for each year.
  • Participate in safety forums created by company for example safety meetings and safety talks
  • Report all safety incidents to the relevant people
  • Discuss all safety incidents on all levels
  • Follow-up on any activities assigned through safety meeting/committee/representative/management
  • Attend safety education and refresher programmes
  • Comply with safety policies and procedures at workplace
  • Distribute safety information as and when required
  • Wear protective clothing all the time
The Ideal Candidate

Qualification
  • Grade 12
  • Relevant Tertiary Qualification recommended
Experience
  • 2-5 Years Procurement in a Projects environment or similar role Advantageous
