New Business Co-Ordinator

Overall:

The key function of this role is to provide support to the GAP / New Business Development Team

The new business co-ordinator will work across Publicis Groupe Africa supporting the GAP New Business team, helping us to bring in new clients as well as being the go-to person within the team for those seeking new business materials within the Groupe.

Your daily responsibilities will also involve diary management, team administration and helping everything run smoothly.

The role includes the following responsibilities and requires the following core skills:

Key Responsibilities:

New Business support
  • Streamline the First Round/ RFI response process track and monitor the new business activity across the Groupe.
  • World Class Assets Archive Groupe thinking and assets. Your role will be to create a library of beautifully produced, easy to use templates and assets which each brand can then access. You will build relationships and liaise with the rest of Publicis Groupe to keep our case studies, video content, brand templates, image libraries etc as contemporary as possible.
  • Key Pitch Support You will assist the GAP Team in to manage certain pitches of group importance as delegated to you by the Groupe CEO
Business Tool Management
  • Third party tools are an extremely important aspect in assisting our employees to do their jobs.
  • You will be required to managed the following aspects:
    • Annual contract negotiations
    • Supplier relationships
    • Training on the tools
    • User management (off boarding and on boarding)
Administration:
  • Management of the day-to-day administration of New Business functions. Manage the files and be the meticulous keeper and guardian of these records. Schedule team meetings and record and report for such meetings. Coordinate, and where possible, populate the team status reports and documents..
  • Special projects: there are a number of special projects and events that occur during the year. It is the co-ordinators responsibility to help out whenever needed, and getting things done together.
  • Ad-hoc requests: locating materials such as work/case studies/creds/stats. You will help the team respond to requests from both local and global offices.
  • Events: We plan and host a number of internal and external events throughout the year. You will be required to help with various tasks including the planning, production of material, and generally making sure that everything runs smoothly on the day or night.
