Office Administrator (AD10)

Brief Description

Main Purpose

The incumbent is responsible to provide administrative support, duties and services to the Head of the Student Enrolment Centre and its Supervisors, thereby ensuring the smooth running of the undergraduate and postgraduate applications/admissions processes.In addition, the incumbent is responsible for the provision of administrative services to other portfolios that fall within the Registrars remit.

Key Responsibilities

General administration, office Management and stock control
  • Prepares and distributes relevant information for meetings such as agendas, minutes, exhibits/annexures, and attendance registers etc.
  • Diary management
  • Scheduling appointments
  • Minute taking for all meetings conducted by SEnC
  • Processing requisitions on iProcurement for Stationery, office equipment, etc.
  • Receipting goods and processing for payment by the Finance Department
  • Venue bookings
  • Arranging refreshments for meetings
  • Travel arrangements
Public Relations Duties
  • Walk-in and telephone advice to applicants and parents when escalated to the Head and Supervisors
  • Confirmation of appointments
  • Transferring and directing customers to the correct person/department
  • Perform reception duties if required during peak periods and
  • Line management backup for liaising and coordinating communication and/or correspondence with the media, public, and stakeholders on sensitive issues
Requirements
  • Matric and relevant Post-Matric diploma or equivalent
  • At least 2 years experience relating to office administration, preferably in a Higher Education Environment
  • Strong public relations skills, an excellent command of English and proficient written and verbal and verbal communication skills
  • Strong computer literacy e.g. proficiency in MSWord, Excel, PowerPoint, Outlook, MS Teams, Zoom, etc
  • Empathy and discretion in dealing with sensitive issues
  • The ability to keep information confidential
  • Innovative, reliable, efficient, and accurate
Preferences
  • The incumbent should understand the tertiary education environment, and the ability to work under pressure
  • Knowledge of the Student Information Management System (SIMS) or similar student systems used inHigher Education institutions
