JOB OVERVIEW:
We are looking for an experienced office administrator with a keen eye for detail. The ideal candidate will be in charge of the efficiency of the daily office operations, support to the IT Talent sourcing department and take care of growth opportunities for the company. From scheduling client meetings, social media marketing and business development to communication between teams and stakeholders, you will be responsible for completing multi-level tasks in a professional and timely manner.
DESCRIPTION OF POSITION:
ADMIN:
- Carrying out clerical duties such as responding to emails, preparing documents, quotes, invoices, memos and presentations.
- Coordinating and managing appointments, meetings and interviews as required.
- Assisting GM in internal and external events as required.
- Maintaining general office files and any other files related to the company's operations.
- Maintaining all administrative collaboration tools on Microsoft Office - MS Planner, Outlook, MS Teams, SharePoint etc.
- Liaise with Internal and IT Consultants for any administrative/HR-related issues.
- Do research and consolidate tool usage and time efficiency
- Liaise with clients, consultants and candidates regarding administration.
- Assisting GM with any ad hoc admin-related tasks
- Consultant timesheet recording ( Both IT Consultants and Internal Consultants)
- Consultant invoice processing ( Both IT Consultants and Internal Consultants)
- Monthly invoicing - De Velde
- Assisting GM with any ad hoc finance-related tasks
- Ad-hoc listing of new jobs on ATS system as per request
- Advertising vacant positions on various social media platforms Manage ATS system and correlate all IT Staffing tools
- CV Processing
- Placement admin - permanent and contract roles
- Drawing up contracts & liaising with clients & candidates
- Ad hoc tasks as required - reference data, data capturing and management etc.
- Content creation for daily/weekly/monthly marketing
- Design & advertise new job listings
- Weekly/monthly/daily content scheduling on various platforms
- Design & plan advertising campaigns
- Brand building & management
- Social media management
- Identify and research potential clients, industries, and markets to generate new business opportunities.
- Build and maintain a robust pipeline of qualified leads through networking, cold calling, email outreach, and attending industry events.
- Provide input and feedback on marketing campaigns, lead generation activities, and product/service offerings to optimize sales effectiveness.
- Continuously enhance sales skills, product knowledge, and business acumen through training, workshops, and professional development opportunities.
- Customer Satisfaction and Retention:
- Ensure high levels of customer satisfaction by delivering exceptional service, responsiveness, and support throughout the sales process and beyond.
- Adherence to Company Policies and Values.
- Adhere to company policies, procedures, and ethical standards in all business development activities and interactions.
- Uphold company values of integrity, transparency, and customer-centricity in every aspect of the role, serving as a positive ambassador for the company brand.
- By fulfilling these responsibilities effectively, the business development role contributes to the growth and success of the IT consulting and talent company, driving revenue growth, expanding market presence, and delivering value to clients.
- Sales target of 10 new billable clients per year
- Commission for any new billable client will only apply if the engagement was initiated directly by the Office & Growth coordinator first
- The commission will only be payable if the client is billable
- Performing other relevant office & growth coordinator duties for any department as required by the management team.
- Proficient in handling confidential information.
- Self-starter, taking own initiative
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
- Well-presented - have good phone/email etiquette and be well-spoken.
- Keen to do research and optimize processes and tools
Matric or post-matric qualification in Office/Business Administration or similar.
EXPERIENCE REQUIRED:
- Min 4 years experience in an administrative role.
- Proficient in computer software applications including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, MS Teams).
- Background in recruitment, HR, marketing & social media.
- Experience with CRM software
