Your Tasks
Objectives
To provide comprehensive administrative support to the Senior Management Team (SMT) and Administration & Internal Communications Manager.
Primary Responsibilities
Support to Senior Management Team:
- Coordinate meetings and prepare and distribute agendas and documents in good time. Take effective and accurate minutes for key meetings only (max 2 hours per week per Senior Manager) noting actions and performing basic follow-ups on action items.
- Diary management.
- Coordinate all domestic and international travel arrangements for the SMT and complete and submit relevant expense claims.
- Draft, review and send communications on behalf of the SMT.
- Maintain various records and documents for the SMT that meet company standards and guidelines e.g., document naming conventions, correct templates, formatting and editing etc.
- Manage tasks and queries on behalf of the SMT in a timely manner with the ability to establish priorities based on understanding of the requirements.
- Liaise with relevant internal stakeholders and teams to deliver various documents e.g., marketing materials, proposals, reports and presentations ensuring quality and consistency of output that meet standards and guidelines.
- Become familiar with the SMTs workload to assist efficiently.
- Attend to ad hoc errands as and when required.
- Responsible for managing travel@juwi.co.za mailbox, assigning TRFs to departmental administrators as required, and providing training, support, and back-up to travel bookers.
- Responsible for all international travel bookings for JUWI South Africa.
- Assist the Administration & Internal Communications Manager with the planning and coordination of larger staff events.
- Assist the Administration & Internal Communications Manager with the implementation and activities related to the roll out of the Employee Engagement Strategy (still to be scoped).
- Assist the Administration & Internal Communications Manager with the implementation and activities related to the roll out of CRM Dynamics / Contacts database (still to be scoped).
- Proactive assistance with the continuous improvement and implementation of office procedures and processes.
Qualifications And Experience
- Matric and/or relevant diploma.
- Minimum 5 years working experience as an Assistant.
- Excellent communication skills and telephone manner with the ability to write clear, grammatically correct communications to internal and external contacts in both English and Afrikaans.
- Good typing speed (60 wpm).
- Fully computer literate. Competent to an intermediate level in Microsoft Office packages e.g., Word, Excel, PowerPoint & Outlook - to be supported by certification.
- Comprehensive travel booking experience, both domestic and international.
- Event coordination experience.
- Strong organisational skills with the ability to quickly assess and prioritize work requests, managing diverse demands on your time.
- Self-motivated with the ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed methods and standard acceptable practices.
- Must be able to work under pressure and meet deadlines in a fast-paced quickly changing environment while maintaining a positive attitude and providing excellent service delivery.
- Resourceful, can-do attitude.
- A proactive approach to problem-solving with strong decision-making skills.
- Meticulous and detail orientated.
- Assertive with excellent conflict and stress management.
- Active team member with the ability to establish good working relationships.
- Interpersonal and intercultural competencies. Experience in working in an international environment advantageous.
