Operations Administrator

Main Job Purpose

Provide high-level specialist administrative support within the Operations team, also make routine and procedural decisions regarding administrative activities within the parameters of the organization's policy and procedures

Responsibilities
  • Filing management of all paperwork related to Operations.
  • Handling HO finance queries pertaining POs and vendors, Reconciling/compiling finance docs and billing
  • Liaising with all stakeholders regarding all purchase orders from head office and vendors
  • Invoicing all Motor Plan and Warranty job cards of SAP
  • Check that all the parts booked on job cards under the Motor Plan Warranty are correct;
  • Check payments on Motor Plan & Warranty after the claim is submitted;
  • Ensure all Motor Plan & Warranty used parts are sent back;
  • Capturing all leave and Employee hours on ESS and submitting relevant documentation to Head office
  • Sorting all pay queries from EEs and dealing with customer service and queries
  • Handling all insurance claims, and damages and being a Petty cash custodian
  • Handling local vehicle fleet; all maintenance, repairs and license renewals
  • Ordering container packing stock/inventory
  • Delivering documents to SARS (Customs) when needed
  • Invoice job cards on a daily basis when available
  • Present critical issues daily at operations meetings & corporate tactical meetings
  • Maintaining a good working relationship with all internal and external customer
  • Ensure the department adheres to ISO 9001 Quality Processes and standards
  • Ensure the department adheres to ISO 14001 Environmental Processes and standards
  • Ensure the department adheres to ISO 45001 Health and Safety standards
Education/Requirements:
  • National diploma or degree in finance/accounting / logistics
  • 3-4 years of administration and high-level customer service experience + Minimum 1-year industry experience
  • Understanding the Vehicle supply chain environment is advantageous
  • MS Office spreadsheets and graphics strong Excel skills.
  • SAP knowledge and experience
  • EVL knowledge and experience
  • Warranty administration and Dealership experience
