Job Summary

Operations Administrator is responsible for processing, monitoring and reporting of all Custody and Trustee related transactions for the Investor Services Operations function ensuring effective execution within compliance and regulatory requirements.

Job Description

Accountability: Operations
  • Administer all transactions relating to AIS products and services.
  • Identify and drive operational efficiency.
  • Monitor all transactions to ensure that the required standards of work are met during execution.
  • Ensure all transactions are executed within the relevant cut-off times.
  • Adhere to defined quality standards and standard processes to avoid risks to the bank through effective and efficient monitoring of transactions.
  • Escalate all issues that cannot be resolved to the Team Leader and Operations Manager immediately. eg: potential losses, client claims.
  • Adhere to service level agreements by ensuring alignment with the required turnaround times.
  • Adhere to the filing, archival and retrieval polices in terms of documentation
  • Compile and monitor daily checklists where required.
  • Complete daily checks.
  • Provide inputs into processes and procedures and ensure continuous maintenance.
  • To monitor client and counterpart queries and ensure prompt resolution.
Accountability: Risk Management and Compliance
  • Identify and escalate real and potential risks to the Operations Manager.
  • Design and implement risk reduction, mitigation and avoidance measures to address potential or identified risks
  • Maintain a good understanding of all governance applicable to AIS Operations
  • Comply and adhere to all internal audit and compliance requirements.
  • Adhere to Business Continuity Requirements for AIS
  • Ensure validation of mandates and authorised signatories for all processing.
  • Ensure all mandates are in place for business processes
  • Escalate non-adherence to mandates to the AIS Operations Manager and Head of Operations
  • Green Audits: Internal, External and Regulatory ensure timeous close-out of observations and continuous embedment of corrective actions
Accountability: Collaboration and Relationship Building
  • Develop and maintain networks within the Absa Group across operational areas.
  • Maintain high personal visibility with crucial influencers within the bank and externally promoting the credibility of self and the businesss growing capabilities.
  • Maintain an excellent understanding of technical expertise, and remain up to date with relevant market knowledge.
Accountability: Customer Service
  • Ensure high quality communication to internal and external clients, both verbal and written
  • Ensure that the team delivers Excellent Service to all clients within agreed SLAs, by monitoring performance and tracking daily queues
  • Satisfy customer needs through the effective and efficient resolution of customer queries.
  • Ensure that resolutions are documented and follow up with internal and external customers to ensure that the issues have been resolved to their satisfaction.
  • Escalate client complaints to the Operations Manager.
  • Maintain quality standards in respect of client service.
Education And Experience Required
  • Diploma or Certificate (NQF level 6.)
  • Minimum 5 years of Custody Operational Processes
  • Knowledge of regulatory and statutory requirements: Strate Rules
  • Understanding of Custody processes
  • Proven experience in customer facing environment
Education

Further Education and Training Certificate (FETC): Business, Commerce and Management Studies (Required)
