Operations Assistant

  • Maintain MANCO Calendar
  • Maintain MANCO templatesMaintain, communicate, remind and check Brand Reporting
  • Duties (Managed in Project management application, Includes ALL brands Includes all management reporting)
  • Do bi-weekly reporting and recordings
  • Do monthly reporting and recordings
  • Maintain INF OPS Folder in Work drive
  • Draft KPI's and maintain /update KPI's monthly.
  • Create OKR's in project managing application for all brands and departments annually
  • Draft SOP's & Policies
  • Manage all INF OPS related communication to INF Team
  • Manage cleaners' duties daily for both properties
  • Manage stock orders for kitchen and building
  • Manage deliveries and collection at Longmeadow office
  • Manage maintenance and repairs at INF Riley road building
  • Manage queries for facilities on both properties
  • Manage all keys and masters to INF Riley building
  • Manage all SLA's building related, eg. Pest control, hygiene control, etc.
  • Do insurance claims on facilities when necessary and facilitate repairs after claim approvals.
  • Update and maintain the Asset list/register
  • Ensure movement is tracked on asset App
  • Ensure asset value is balanced by accounts quarterly
  • Ensure HR attached asset policies
Act as a channel / filter of communication on all legal matters to control:

i. Cost of legal

ii. Time required and feedback

iii. Track progress on cases
  • Ensure proper process flow and procedures on all legal matters are followed.
  • Assist with contractual translation to new Zee's
  • Keep track of costs on all legal matters at lawyers
  • Consistently manage own priorities to achieve all deliverables
  • Follow any lawful and reasonable instruction from the GM
  • Act as part of the team and always assist other members of the team to achieve common goals

RequirementsExperience In Administration Duties.

Knowledge of business processes and functions (Business Admin, Legal, Procurement, Project Management & Operations.)

Strong analytical ability.

Ability to listen / read to instructions and carry them out independently.

Tech-savvy.

Adaptable to quick changes.
