Key Duties And Responsibilities
- Payroll Administration - auditing and verification:
- Ensure all payroll administration input is checked, processed within the specified time, according to the company procedures and law, e.g., new engagements, terminations, maternity calculations, all adhoc input changes, cost centre changes, monthly medical aid etc.
- Produce monthly variance reports for earnings, deductions and company contributions and ensure all variances amended by the payroll administrators and reported for audit purposes.
- Leave and Timesheet Maintenance:
- Prepare manual timesheet each month for employees leaving prior to month-end.
- Prepare monthly timesheet database reports once payroll is completed, merge and distribute timesheets and checklists to projects.
- Verify timesheets from projects on a monthly basis.
- Ensure timesheets and leave correspond and address discrepancies.
- Ensure project splits are correct per agreed allocations.
- General Ledger Reconciliations & Upload to Finance:
- Prepare monthly reconciliations for the payroll GL accounts, e.g., Salary Clearing-3034, Leave & Retrenchment- 3035, 13th provision - 3107, balance sheet accounts - 3081 for various projects. Detailed analysis & clearing of accounts start to end.
- Ensure once funding and monthly reports are finalised, generate GL entries, balance, and upload to Sage Evolution.
- HR Statistical Reporting:
- Prepare, analyse, and submit reports to HR, Finance management and the business on request. Listing of reports to be generated: Fixed Info, company Portal, Leave, ESS, Pepfar HRID, Stats SA, Rem Channel, Terminations, Long Service, Adhoc.
- Generate monthly leave reports and distribute to line managers.
- Assist the company internal/ external auditors with information required and implement audit recommendations.
- Complete validations monthly report/ biannual / annual easy file submissions for IRP5's & submit to payroll administrators for updating / correcting on Sage People.
- Prepare ad hoc reports as required by HR or Finance.
- Generate monthly payroll reports per projects and distribute to managers.
- Generate and submit quarterly reports for Statistics SA.
- Generate quarterly statistics for Board report on headcount, staff turnover and employment equity statistics.
- Matric (Grade 12).
- Bachelor of Commerce Degree or equivalent.
- 5 to 10 years experience in Payroll on VIP.
- Understanding of employment legislation.
- Benefit administration.
- Sound knowledge of Sage 300 People and ESS.
- Good all-round computer skills.
- Knowledge of BCEA and LRA, SDA, EEA.
- Report generation (Excel and SAGE 300 People).
