KEY RESPONSIBILITIES
PAYROLL
- Ensuring that all payroll input is received on time and in accordance with payroll deadlines
- Liaising with line management regarding outstanding payroll input
- Recording receipt of documentation required for the processing of payroll
- Ensuring that all payroll input is distributed to the relevant Payroll Administrator on time
- Processing of PMFs which require the following changes to be made on payroll:
- Department or cost centre
- Rates of pay
- Position
- Transfer, new engagement, terminations
- Job Title
- Printing and issuing of payslips in accordance with payroll deadlines
- Ensuring that employees receive their corrected payslip when a wage query has been resolved
TIMESHEETS
- Printing timesheets in accordance with payroll deadline schedule
- Distributing, collecting, and verifying timesheets in liaison with line management, the Payroll and HR Team
- Ensuring that all timesheet queries are resolved according to the deadline schedule and before the payslips are generated.
TIME AND ACCESS
- ID Card / Bio-metric Allocation
- Responsible for ensuring that all wage employees are enrolled onto the Time and Access system by means of an ID card and / or biometric enrolment to ensure access parameters are set in accordance with time and access requirements and to ensure accurate payment of wages
- Responsible for trouble shooting access control and clocking issues together with IT and service provider to minimize disruption to accurate payment of wages as a result of missing clocking.
CONFIDENTIALITY
- Ensuring that the strictest confidentiality is maintained, and that employee information is managed in accordance with POPI legal requirements
ADMINISTRATION SUPPORT
- Providing efficient and on time administration support to the payroll team
- Ensuring that the payroll deadline schedule is adhered to by all internal customers and ensure that this is regularly communicated and understood
- Ensuring that all processed payroll documentation is filed in accordance with departmental, legal, and auditing requirements
- Ensuring that documentation is easily accessible and retrievable on request
- Acting as the first point of contact for all payroll queries with line management
- Ensuring that queries are understood and referred to the relevant payroll administrator for investigation and resolution
- Providing timeous feedback to line management regarding any query related to payroll
MINIMUM REQUIREMENTS
- Grade 12 with Accounting and/or Mathematics as high school subjects
- Excellent communication skills
- Computer literate in Ms Office applications
