Personal Assistant (Fixed Term Contract)

Job Description

This is an exciting opportunity for an experienced personal assistant (PA) to provide professional support to the Head of International Private Equity within Old Mutual Alternative Investments.

Key Result Areas
  • Providing efficient, confidential, and professional secretarial services to senior staff.
  • Maintain confidentiality of information both from internal and external sources.
  • Schedule internal and external appointments and proactively manage diaries.
  • Ensuring dates of all Board and Board sub-committee meetings as appropriate are in calendar and necessary travel arrangements made.
  • Making all travelling arrangements, flight bookings, accommodation, forex, visa applications, reconciliations, etc. (domestic and international).
  • Receive and assist visitors, arranging meeting rooms and refreshments.
  • Answering telephones, manage voice mail, taking detailed messages and interface with external and internal clients and other stakeholders appropriately.
  • Collating, printing, and distributing various Board packs, Board Sub-Committee packs, Investment Committee packs, etc.
  • Obtaining signatures to resolutions and ensuring originals are couriered to Investee Companies.
  • Maintaining subscriptions of newspapers and magazines.
  • Collate and prepare staff expense claims for approval.
  • Prepare cheque requisitions for invoices and submit for approval and payment.
  • Filing and record keeping up to date and easily accessible.
  • Accurate archiving of old documents to Metrofile.
  • Assisting with any ad hoc requests.
Requirements: Skills, Qualifications and Experience required
  • Extensive experience as a PA at a senior level, dealing with Company Senior Executives.
  • Preference for a secretarial/PA qualification.
  • Advanced Computer literacy skills (MS Word, Intermediate Excel, PowerPoint, Outlook and Internet).
  • Strong relationship management, communication and co-ordination skill sets are key to this role.
