Job Description

Old Mutual Insure is looking for an experienced Process Analyst to ensure sufficient mapping of operational processes for existing products and systems, as well as concurrent updating of processes in line with implementation of optimisation efforts. You would act as Lean Six Sigma SME and recommend areas for improvement in processes to reduce cycle times, improve productivity, create capacity and improve process reliability and customer satisfaction.
  • Engage and build relationships with product and process owners, to understand the requirements, inputs, handoffs and outputs of the process, and ensure that sufficient process analysis are conducted in order to meet desired business needs.
  • Support operations with facilitation of process design workshops with participants from the processing areas and the process owners.
  • Ensure that relevant department processes are mapped using M&F approved mapping standards (currently MS Visio).
  • Ensure and obtain approval from relevant stakeholders on the final products before business process are published.
  • Engage with relevant stakeholders to address issues or concerns as identified in test cells for new processes. Work closely with operations personnel to ensure that corrections are made prior to live implementation as agreed with the relevant stakeholders.
  • Ensure continuous feedback to training and procedure documentation staff for them to update their respective/relevant artefacts.
  • Assess the risk and potential impact of any process changes requested from a systems, control and operational risk perspective.
  • Highlight the risks to the process owners. Identify where systems designs need to be altered in order to integrate the business solution and highlight to the process owners.
  • Estimate the financial or other benefits of changes to processes and report to the business efficiency team if relevant.
  • Oversee the implementation of new processes to ensure that anticipated benefits are realised and that implementation is taking place according to plan.
  • Support the product development process by advising on the most appropriate operational processes to support the product's implementation. Interact with the impacted operations processing area to obtain their input and approval for the final product process/es.
  • Ensure that on at least an annual basis, all processes in place in the business area are critically reviewed and that potential areas for improvement are identified.
  • Engage and obtain approval from the process owners to conduct detailed work and create recommendations for improvement.
  • Ensure that updated processes are published and old ones removed utilising relevant change control mechanisms within iServer (or relevant Enterprise system as necessary).
  • Ensure that M&Fs standards for business change are followed for all major changes (BCL), as prescribed by the PMO.
  • When required, conduct time and motion studies to test the processes in place.
  • Identify areas for potential productivity improvement based on the results.
  • Support process owners to design change impact assessment tools and change project plans.
  • Occasionally assist with monitoring progress against the project plan.
  • Ensure the Validation of processes during projects prior to becoming business as usual (BAU) by reviewing pre-BAU quality reviews on these new processes (similar to UAT).
  • Check and assist in update of training manuals and quick reference guides developed by the business process owners against the related policies and procedures to ensure consistency of the message.
  • Track and monitor that policy or process changes are updated in all components that are published including the policy document, process maps, procedure document and supporting material including job aids and reference guides (PPSG).
  • Act as point of contact for escalated issues and ensure updating of supporting processes, policies and procedure documentation based on gaps identified from time to time.
  • Support the person in the area responsible for service level agreement by providing input on the process requirements from the business assisting in the drafting of usable metrics and Visual Management.
  • Ensure that all relevant stakeholders (Systems Integration, IT representatives, etc.) are aware of possible systems impact and new requirements as a result of new processes. Ensure that relevant design documents address the business requirements and sign of prior to work commencing.
  • Participate in systems testing to ensure that the required changes have been affected as agreed.
