Key Responsibilities
- A degree or Diploma or equivalent qualification in IT, computer science, or a related field
- Relevant IT Asset Management qualification or certification
- Minimum of 5 years' experience in IT Asset Management
- Minimum 3 years' experience as a procurement specialist
- Experience in Procurement and IT Asset Management in the Insurance Industry environment would be an advantage
- Manage end-to-end procurement processes, from supplier selection to contract negotiation and ensure improved cost efficiency.
- Responsible for contract negotiation, contract renewals and vendor management activities.
- Responsible for inventory management, procurement, and shipment activities.
- Implement and maintain a comprehensive IT asset management system to ensure inventory accuracy
- Manage the lifecycle of hardware and software models, right from their introduction to the end of life
- Manage asset reconciliation and asset disposal agreements.
- Facilitate and track remediation of all related assets, weekly, monthly to ensure all assets are accounted.
- Analyse procurement process effectiveness and resolve procurement issues.
- Ensure process efficiency by implementing the key performance indicators while suggesting improvements to the process consistently.
- Strategize, monitor, and record hardware assets and/or software licences to make sure they comply with contracts .
- Manage and track inventory and assets while ensuring any modifications, withdrawals, and additions to the existing assets are recorded accurately by the teams.
- Maintain a schedule and follow it to provide KPI/Metric information along with standardised and unscheduled reporting as required by management.
- Collaborate with management to define cost savings, asset compliances and service improvements.
- Collaborate with finance and accounting teams to streamline budgeting processes and ensure accurate reporting.
- Prepare and manage IT asset capital and expense budgets.
- Monitor and control expenses within allocated budget
- Conduct market research to stay updated on industry trends and identify innovative solutions for the organization's technology needs.
- Collaborate effectively with the IT department to gain a comprehensive understanding of and align with the business needs and requirements.
- Collaborate with various stakeholders to meet organizational goals.
- Provide specialist support
- Participate in other IT asset management processes or, if required, perform as a backup to maintain continuity in operational activities.
- Establish and maintain relationships with suppliers.
- Monitor and analyse supplier's performance and resolve issues and concerns
- Design and execute asset management policies, procedures, processes, and reporting.
- Coordinate with management in utilizing the asset management tools to analyse, review and track asset data.
- Develop asset control processes to monitor accountability identification, maintenance, location, and contracts.
- Ensure risk log report for all assets available and report on any risk associated.
- Identify, assess, and quantify risk associated with all IT assets.
- Analyse reports to identify areas of improvement, growth, or risks
- Ensure audit compliance for the IT assets.
- Monitor software licenses to ensure they comply with license agreements and usage standards.
- Supervise and manage activities concerning licence compliance audits.
- Ensure meaningful reporting to drive continual service improvement.
